Document Control Specialist

Location: Sumter, SC
Department: Quality
Reports To: Quality Manager
Status: Non-Exempt


Position Overview

The Document Control Specialist is responsible for managing controlled documentation to support quality, compliance, and regulatory requirements. This role ensures proper document review, approval, version control, and retention while maintaining document management systems and supporting audits.

This position works cross-functionally to ensure document accuracy, accessibility, and continuous improvement of document control processes.


Key Responsibilities

Document Control & Administration

  • Process new and revised documents through review and approval workflows

  • Maintain document version control, change history, and tracking

  • Ensure compliance with formatting, metadata, and retention standards

  • Manage document distribution and access to controlled documents

Systems & Data Management

  • Maintain document management systems (DMS) and ensure data integrity

  • Manage user access and permissions within document systems

  • Maintain audit tracking systems and documentation records

Compliance & Audits

  • Support internal and external audits (ISO, FDA, customer)

  • Conduct document audits to ensure compliance with procedures

  • Provide required documentation for inspections and regulatory reviews

Training & Support

  • Train users on document control procedures and systems

  • Support cross-functional teams with document submission and workflows

  • Guide teams on document standards and compliance requirements

Continuous Improvement

  • Identify and implement improvements to document control processes

  • Support standardization and efficiency across documentation practices


Qualifications

Required:

  • Associate’s or Bachelor’s degree in a related field

  • 4+ years of document control or quality assurance experience

  • Experience with document management systems (DMS)

  • Strong attention to detail and organizational skills

Preferred:

  • ISO internal auditor certification

  • Experience supporting regulatory audits (ISO, FDA, etc.)

  • Experience with quality systems and compliance documentation
