The Fountain Group is a national staffing firm and are currently seeking a ­­­­­­­EHS Document Control & Training Specialist for a prominent client of ours.  This position is in North Chicago, IL 60064. Details for the position are as follows:

Location: North Chicago, IL
Schedule: Hybrid – Onsite Tuesday, Wednesday, Thursday | Remote Monday & Friday
Hours: Monday – Friday, 8:00 AM – 5:00 PM
Duration: Through September 30, 2026, with potential for extension
Education: Associate Degree Required
Experience: 1–3 years required; 3+ years preferred

Position Overview

We are seeking an EHS Document Control & Training Specialist I to support global Environmental Health & Safety (EHS) documentation and training management activities. This role will be responsible for maintaining and publishing EHS documents, supporting training curriculum updates, managing document workflows, and ensuring compliance within company documentation and training systems.

The ideal candidate will have experience working with document management systems, training platforms, and regulated documentation processes while demonstrating strong organizational, communication, and administrative skills.

Key Responsibilities

Document Control & Management

  • Process, publish, and maintain Global EHS policies, procedures, standards, and tools within document management systems.
  • Support document lifecycle activities within Veeva Vault Quality Documents and Training modules.
  • Perform document administration tasks as documents move through drafting, review, approval, and publication workflows.
  • Review uploaded documents to ensure metadata is complete and accurate.
  • Assist document owners with document formatting, editing, and compliance with required templates and Microsoft Word styles.
  • Provide guidance regarding document workflows, review requirements, and approval processes.
  • Collaborate with Quality Document Center personnel, global program owners, and cross-functional stakeholders.

Training System Administration

  • Support enterprise-wide EHS training curriculum management.
  • Update computer-based training materials and slide presentations based on subject matter expert input.
  • Upload and maintain training content within EHS training platforms.
  • Ensure proper integration and linkage between training systems and document management platforms.
  • Run and analyze training compliance reports within ComplianceWire.
  • Assist with training-related administrative activities and process improvements.

Process Support

  • Support continuous improvement initiatives related to EHS document and training management processes.
  • Respond to user questions regarding document management systems and training platforms.
  • Complete various administrative assignments and special projects as needed.
  • Adapt to changing priorities in a fast-paced, team-oriented environment.

Required Qualifications

  • Associate Degree required.
  • 1–3 years of relevant experience in document control, training administration, quality systems, or a related field.
  • Working knowledge of OneVault.
  • Experience with ComplianceWire, EHS training systems, and documentation management processes.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience developing or maintaining training content.
  • Strong verbal and written communication skills.
  • Excellent organizational, time management, and multitasking abilities.
  • Ability to work effectively in a collaborative team environment.

Preferred Qualifications

  • 3+ years of relevant experience.
  • Experience supporting document control or training programs within a regulated industry environment.
  • Experience with Veeva Vault Quality Documents and Training modules.
  • Familiarity with SharePoint and quality document management processes.
