The Fountain Group is hiring a Document Control & Training Specialist I for a prominent global pharmaceutical client in North Chicago, IL.

This is an excellent opportunity for someone with Veeva Vault (OneVault) and/or ComplianceWire experience who enjoys working with document management, training content, and quality systems in a regulated environment. You'll support a global Environmental, Health & Safety (EHS) team by managing documentation, maintaining training materials, and ensuring compliance across enterprise systems.

 

Position Highlights

  • Monday-Friday schedule (8:00 AM-5:00 PM)
  • 100% onsite preferred
  • Hybrid schedule may be available after training (Remote Monday & Friday / Onsite Tuesday-Thursday)
  • No travel required
  • Opportunity for contract extension based on business needs

 

Responsibilities

  • Process, publish, and maintain controlled documents within OneVault (Veeva Vault).
  • Upload and manage Environmental, Health & Safety (EHS) documentation and impact assessments.
  • Clean up, format, and maintain PowerPoint training presentations.
  • Upload training materials into ComplianceWire and ensure proper system integration.
  • Support document owners by editing and formatting procedures using Microsoft Word styles.
  • Review document metadata and ensure documentation accuracy and completeness.
  • Generate ComplianceWire training reports and assist with training administration.
  • Support document workflows, approvals, and document lifecycle management.
  • Assist with continuous improvement initiatives related to document control and training systems.
  • Perform additional administrative and documentation support as needed.

 

Required Qualifications

  • Associate degree or equivalent combination of education and experience.
  • 1-3 years of experience in document control, training administration, quality systems, or a related field.
  • Experience with either Veeva Vault (OneVault) OR ComplianceWire is required.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with documentation management.
  • Strong organizational, time management, and communication skills.

 

Preferred Qualifications

  • Experience using both Veeva Vault (OneVault) and ComplianceWire.
  • Experience developing or maintaining training content.
  • Environmental, Health & Safety (EHS) documentation or training experience.
  • Experience working in the pharmaceutical, biotechnology, medical device, or other regulated industry.
