To learn more about the Sundyne family of precision-engineered pumps and compre Position Description The Document Coordinator Supervisor responsible for managing the Document Coordinator team as they supports project teams by managing the sales order process, ensuring the accuracy of customer information, and maintaining key project documentation. This role is critical to ensuring that projects are completed on time with accurate and complete information for customer satisfaction and operational efficiency. Job Duties & Responsibilities Assigns Document Coordinator to enter incoming orders with information provided by application engineering, project management, and/or other internal suppliers, ensuring data accuracy. This Document Coordinator will manage this order until Final Data Submission. Ensure Document Coordinators complete and maintain an accurate vendor document index with information from customer's purchase order, specifications and input from the project manager. Oversees that all submittals from engineering and quality as well as all returns from suppliers and customers are processed by the Document Coordinator in Sundyne's document management systems on time and accurately. Trains all new Document Coordinators on job duties and responsibilities and trains existing staff on any new processes, equipment, or systems that impact the department. Maintains all desktop instructions for Document Coordinator team. Maintains organization and prioritizes project team's workload as well as coverage while team members are out of the office. Reports on status of all Final Data including on time completion and value of past due dollars. Supervisor Responsibilities Team Management and Support: Supervise and mentor a team of project coordinators, ensuring they have the necessary resources and training to complete their tasks accurately and on time. Offer guidance in prioritizing tasks, managing deadlines, and resolving any challenges that arise. Makes decisions about hiring, job changes, and performance evaluation. Continuous Improvement: Continuously assess and improve the documentation and order entry processes to enhance efficiency, accuracy, and overall team performance. Implement best practices and address any inefficiencies to streamline workflows. Cross-departmental Coordination: Act as a liaison between different departments (sales, project management, engineering, etc.) to ensure that all project information is properly communicated and integrated, helping resolve any interdepartmental issues quickly. Quality Control and Compliance: Oversee the accuracy and completeness of all customer-facing documents and final data packages before submission. Ensure that all documentation complies with internal standards, customer requirements, and regulatory guidelines. Reporting and Metrics: Track and report on key performance indicators (KPIs) related to project progress, order accuracy, and on-time deliveries. Use data to provide insights and feedback for continuous improvemen Skills & Abilities Required Technical aptitude Excellent computer skills, specifically in Excel, Word, Adobe, Sharepoint, Smartfile, Siemens TeamCenter and ERP software such as JD E wards, SAP, or equivalent. Strong organizational and communication skills. Ability to independently initiate and complete tasks with timely results. Qualifications Successful candidate Will have a strong general understanding of engineering sciences and be comfortable engaging in technical communication and decision making. Will be capable of working both independently as well as in a team environment. Will be dedicated to meet short deadlines, and manage multiple requests simultaneously with a high degree of ownership for timely and accurate completion. Will have strong attention to detail, and a high degree of focus on customer satisfaction. Will have strong personal organization and time management skills. Will have strong computer skills including extensive experience using Microsoft Office products. Other systems the candidate will be required to routinely interact with are TeamCenter and JDE. Will be interacting with personnel in all organizations of the business and will be required to visit the manufacturing portion of the facility on a regular basis.
