This role plays a critical part in ensuring the accuracy, organization, and security of our company’s documentation across multiple departments. If you have a passion for maintaining efficient information systems and thrive in a dynamic, fast-paced environment, this opportunity is for you.As a Document Management Specialist, you will be responsible for overseeing the lifecycle of important documents, facilitating smooth access and retrieval, and supporting compliance with company policies and industry regulations.ResponsibilitiesOrganize, classify, and archive company documents in accordance with established protocols.Maintain and update document management systems to ensure data integrity and accessibility.Coordinate document retrieval requests and provide timely support to internal stakeholders.Implement and monitor compliance with document control policies and procedures.Assist in auditing document repositories to verify completeness and accuracy.Support the digitization of physical records and transition to electronic document management.Train and guide team members on document handling best practices.Identify opportunities for process improvements and recommend solutions.Qualifications & SkillsAssociate’s or Bachelor’s degree in Business Administration, Information Management, or related field preferred.Proven experience in document management or records administration, preferably in a wholesale or retail environment.Strong knowledge of document management systems (DMS) and electronic filing tools.Familiarity with compliance standards related to data privacy and record retention.Excellent organizational skills with a keen eye for detail.Proficient in Microsoft Office Suite and cloud-based collaboration platforms.Ability to work independently and manage multiple priorities in a remote setting.Effective communication skills and a collaborative mindset.
