Position Summary.
As an Export Documentation Specialist / Coordinator, is responsible for managing end-to-end international shipping documents. This role ensures all shipments cross borders legally, accurately, and without delays by strictly adhering to destination-country and U.S. government regulations. You’ll assist with cargo tracking, as well as handling any customer queries relating to deliveries

Job Description: 
  • Document Preparation: Accurately prepare, audit, and process key shipping documents including Commercial Invoices, Packing Lists, Certificates of Origin, and Bills of Lading.
  • Compliance & Filing: Submit Electronic Export Information (EEI) filings into the Automated Commercial Environment (ACE / AES) or foreign equivalents.
  • Stakeholder Coordination: Liaise seamlessly with freight forwarders, ocean/air carriers, trucking companies, overseas agents, and government agencies (e.g., USDA, Customs).
  • Classification: Apply accurate Harmonized System (HS) codes and ensure proper valuation of goods.
  • Screening: Verify denied or restricted party lists for international clients and suppliers prior to document release.
  • Record Keeping: Maintain meticulous, organized, and catalogued files for both audits and post-shipment proof.
  • Issue Resolution: Troubleshoot documentation errors and immediately communicate with clients regarding shipment status or customs inspections.

Qualifications: 
  • Degree/Diploma in International Business, Logistics or a related field is preferred.
  • 3+ years’ Export documentation experience in the food trading industry processing export orders in temperature-controlled ocean containers
  • English/Spanish a MUST, comfortable speaking and writing in both languages 
  • Sound knowledge of export documentation requirements in the trading and supply-chain processes
  • Solid understanding of import customs requirements of meat products in the Caribbean, South and Central America
  • Excellent attention to detail and high level of organization
  • Capable to work well under pressure and meet tight deadlines 
  • Skillful identifying/managing risks and opportunities during the logistics process in order to ensure optimum results
  • Ability to interact with all levels of the organization, external suppliers, and customers in a professional, objective manner
  • Enjoy helping and interacting with other people; always friendly and courteous 
  • Excellent judgment and discretion in handling difficult situations
  • Strong work ethics and a natural team player who helps others succeed
