SCHEDULE: Monday-Friday, 8:30 am - 5:00 pm (hybrid option)

Pays $26.00 - $28.00 per hour DOE (Salary ranges provided are based on relevant experience and skill set)

LOCATION: 363 Albany St, Boston MA

SUMMARY OF THE POSITION:

Reporting to the Director of Development Systems, the Donor Relations Coordinator is responsible for the processing and acknowledgement of philanthropic gifts and pledges to Pine Street Inn. The Donor Relations Coordinator is a vital member of Pine Street Inn's fundraising team, often the only point of contact a donor may have with Pine Street, and thus diligence and professionalism are of utmost importance.

Requirements

Required Qualifications:

  • Bachelors Degree
  • 2-3 years of administrative experience or equivalent

Preferred Qualifications:

  • Raiser's Edge experience
  • 2-3 years of experience working in a Development Office

REQUIRED KNOWLEDGE/EXPERIENCE:

  • Database and data entry experience (Raiser's Edge / RENXT preferred)
  • Strong computer skills, including advanced features of Microsoft Word and Excel
  • Exceptional data entry speed and accuracy
  • Highly detail-oriented with a critical degree of accuracy regarding data entry
  • Excellent interpersonal, organizational, and problem-solving skills
  • Ability to prioritize work and to perform multiple tasks simultaneously while adhering to deadlines
  • Flexibility to respond to changing priorities, often in a quick timeframe
  • Ability to deal with confidential data
  • Comfortable with making decisions and judgments involving the proper entry, allocation and documentation of gifts and accurately matching pledge payments to the correct pledges
  • Ability to take responsibility, to work well as a team member and to work independently without supervision within the scope of normal duties and responsibilities.

ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO:

Gift Entry and Acknowledgements:

  • Accurately enter the daily receipt of checks, credit cards, online, direct deposit/ACH gifts, matching gifts, gifts-in-kind, third-party and DAF gifts, and other philanthropic giving into the RENXT database
  • Download gifts from other systems (JustGiving, GivenGain, Chariot) for entry/import into RENXT
  • Produce timely gift acknowledgments and receipts with accuracy
  • Responsible for Tribute gifts, from processing of gifts to producing and mailing of tribute gift acknowledgements and notifications
  • Escalate ongoing issues with gifts that cannot be processed (non-response from donors, escalated donor queries, donor complaints)
  • Consult with Development and Finance teams regarding proper classification of gifts to ensure proper tracking and credit
  • Serve as backup to other Donor Relations Coordinator as needed

Database Integrity:

  • In conjunction with the Director of Development Systems, merge and clean records as appropriate
  • Ensure that donor/prospect contact and biographical information updates are processed properly in RENXT
  • Run regular reports designed to assess data accuracy and integrity, making corrections as needed

Other Duties as assigned may include:

  • Answer general Development inquiries (phone, email)
  • Serve as a point of contact for general phone and email inquiries from donors and volunteers, referring contacts to appropriate development team members as needed
  • Event support
  • Ensure that donor/prospect electronic and paper files are maintained in an accurate and timely fashion
  • Consult with and escalate competing priorities to the Director of Development Systems and/or other members of Development leadership team regarding workload management, assignment of work, deadlines, requests to delegate work, and other issues impacting workload
