Summary

Reporting to the Director of Development, the primary responsibilities of the Donor Relations Coordinator are to support the development and fundraising efforts of the charity through donor stewardship, CRM management, and growing annual fund contributions. The Donor Relations Coordinator will help expand the relationships between the organization and its donors by providing excellent donor support, appropriately maintaining donor information, and prioritizing timely and accurate data entry and reporting. The Donor Relations Coordinator will also complete projects related to direct mail, text-to-give, recurring giving, and corporate giving.

Primary Responsibilities

Development:

  • Evaluate and execute donor stewardship plan daily, notifying Director of Development and President/CEO of their respective tasks.
  • Expand monthly giving programs by identifying, stewarding, and converting new and existing donors.
  • Manage Round-up for RMHC in conjunction with McDonald’s restaurants, including providing monthly reporting to Director of Development and President/CEO, delivering monthly incentives, weekly restaurant visits, attending McDonald’s crew meetings, and evaluating program performance and recommendations for growth.
  • In conjunction with the Director of Development and Marketing Coordinator, facilitate three annual direct mail campaigns, including donor segmentation, printing, assembly, and mailing.
  • In conjunction with the Director of Development and President/CEO, facilitate quarterly mailed newsletter, including donor segmentation, printing, assembly, and mailing.
  • Manage annual donor thank-a-thon, including coordinating staff and segmenting donors based on giving history and contact methods available.
  • Perform other duties as assigned.

CRM Management:

  • Responsible for monetary and in-kind donation entry into Bloomerang.
  • Generate and send timely gift acknowledgements to donors, including letters and postcards.
  • Create and send honorarium/memorial acknowledgements at donor request.
  • Download individual donation reports and record gifts for online giving, Shopify sales, RunSignup registrations, United Way/CFC contributions, corporate giving, and employee giving.
  • Receive and process all credit card donations made via phone.
  • Assist the Controller in completing weekly reconciliations of Bloomerang to QuickBooks Online.
  • Record new pledges, track pledge payments, and produce and send annual pledge reminders/summaries.
  • Identify constituent information gaps in Bloomerang such as demographics, addresses, contact information and research tools that can provide the needed information.
  • Perform quarterly data cleanup exercises in Bloomerang to ensure accuracy and integrity of donor data.

Administration:

  • Manage calendar of birthdays for staff, board, and key donors, ensuring timely mailing of birthday cards.
  • Facilitate monthly inventory and ordering of office supplies.
  • Manage fund balance for postage meter machine.

Qualifications

Required:

  • Bachelor’s degree in Nonprofit Management, Communications, Business Administration, or other related discipline OR commensurate experience preferably in a nonprofit setting.
  • 1-3 years of experience in donor relations, fundraising, communications, data entry, customer service, or community engagement.
  • Excellent organizational and time-management skills with the ability to manage multiple projects and deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Strong written and verbal communication skills with the ability to build positive relationships with donors and stakeholders.
  • Ability to work independently as well as collaboratively within a diverse team environment.
  • Ability to build relationships with staff, donors, volunteers, and the community.
  • Passion for the organization’s mission and commitment to community engagement and service.
  • Ability to maintain confidentiality and handle sensitive donor information with professionalism and discretion.
  • Proficiency in Microsoft Office Suite.

Preferred:

  • Knowledge of nonprofit fundraising principles and donor stewardship best practices.
  • Experience coordinating events, donor outreach, or fundraising campaigns.
  • Experience with donor databases/CRM systems such as Bloomerang.
  • Experience with online donation platforms such as Harness.
