We are seeking a detail-oriented and highly organized
Dual Property Accounting Coordinator to support the day-to-day accounting and financial operations of two hotel properties.
The Accounting Coordinator works closely with the Controller, hotel leadership, department managers, and corporate accounting partners to ensure financial information is accurate, properly documented, and processed in a timely manner. This position assists with accounts payable, accounts receivable, daily revenue reporting, cash and credit card reconciliations, invoice processing, payroll-related reporting, and general accounting administration.
The ideal candidate is dependable, analytical, comfortable working with numbers, and able to manage competing priorities and deadlines across two fast-paced hotel operations.
Essential Functions & ResponsibilitiesAccounts Payable- Review invoices for accuracy, appropriate coding, supporting documentation, and required management approvals.
- Enter and process invoices in accordance with established accounting procedures.
- Research invoice discrepancies and communicate with vendors and department leaders as needed.
- Maintain organized AP records, invoices, statements, and supporting documentation.
- Assist with vendor account reconciliations and outstanding invoice inquiries.
- Monitor invoices and payment deadlines to support timely payment processing.
- Assist with maintaining vendor files and required documentation.
Accounts Receivable & Billing- Assist with direct billing, group accounts, corporate accounts, and other hotel receivables.
- Prepare and distribute invoices and supporting documentation to clients as required.
- Monitor outstanding balances and assist with collection follow-up.
- Research billing discrepancies and coordinate corrections with Sales, Front Office, and other departments.
- Maintain accurate documentation of payments, adjustments, correspondence, and collection activity.
- Assist with reconciling guest and group accounts as necessary.
Daily Revenue & Reconciliation- Review daily hotel revenue reports for completeness and accuracy.
- Assist with reconciliation of room revenue, food and beverage revenue, taxes, fees, and other hotel income.
- Research discrepancies between hotel operating systems and accounting records.
- Review credit card settlements and assist with identifying and resolving variances.
- Assist with cash, deposit, and bank reconciliation processes.
- Maintain accurate supporting documentation for daily financial activity.
- Communicate discrepancies or unusual transactions to the Controller or appropriate leader promptly.
Cash Handling & Deposits- Assist with preparation, verification, and documentation of hotel deposits.
- Review cash handling documentation and departmental deposits for accuracy.
- Maintain appropriate records related to cash receipts and deposits.
- Assist in researching cash overages, shortages, or deposit discrepancies.
- Follow established internal controls and cash-handling procedures.
Payroll & Labor Support- Provide accounting support for payroll and labor reporting as assigned.
- Assist with reviewing payroll reports, labor expenses, and departmental allocations for accuracy.
- Research discrepancies between payroll records and accounting reports.
- Coordinate with Human Resources, department leaders, and Finance regarding payroll-related accounting questions.
- Maintain confidentiality when handling payroll and financial information.
Month-End & Financial Reporting- Assist the Controller with month-end closing activities and preparation of supporting schedules.
- Prepare reconciliations, spreadsheets, reports, and supporting documentation as assigned.
- Assist with accruals, journal-entry support, account reconciliations, and variance research.
- Maintain organized records to support internal and external audits.
- Assist with financial reporting and special projects as requested.
- Ensure required reports and documentation are completed accurately and within established deadlines.
Dual Property Support- Provide accounting support to both hotel properties, ensuring consistent processes and documentation across the campus.
- Maintain separate and accurate financial documentation for each property.
- Work closely with leaders from both hotels to obtain invoices, approvals, reports, and other required information.
- Assist with identifying and resolving inter-property accounting discrepancies when applicable.
- Prioritize responsibilities based on deadlines and operational needs across both properties.
- Maintain effective communication with hotel leadership, department heads, corporate partners, vendors, and other stakeholders.
Qualifications- High school diploma or equivalent required; associate or bachelor's degree in Accounting, Finance, Business Administration, Hospitality Management, or a related field preferred.
- Previous accounting, bookkeeping, finance, or administrative experience preferred.
- Hotel accounting or hospitality experience strongly preferred.
- Experience with accounts payable, accounts receivable, reconciliations, or general accounting functions preferred.
- Proficiency in Microsoft Office, particularly Microsoft Excel and Outlook.
- Experience with hotel PMS, accounting, payroll, or financial systems preferred.
- Ability to learn new technology and accounting systems quickly.
- Strong mathematical and analytical skills.
- Exceptional attention to detail and accuracy.
- Ability to organize and maintain financial records and supporting documentation.
- Ability to manage multiple deadlines and priorities across two properties.
- Strong written and verbal communication skills.
- Ability to research discrepancies and exercise sound judgment when resolving routine accounting issues.

- Ability to work independently while also collaborating effectively with the Finance and hotel leadership teams.
- Must demonstrate a high level of integrity, discretion, and confidentiality when handling financial, payroll, employee, and business information.
Physical Requirements- Prolonged periods of sitting at a desk and working on a computer.
- Frequent use of standard office equipment.
- Must be able to lift up to 15 pounds occasionally.
- Ability to move between both hotel properties as required to perform job responsibilities.
