ECE Administrative Assistant

Associate's Degree required; Bachelor's Degree preferred in Business Administration, Organizational Management, or a related field.

Minimum of five (5) years of progressively responsible administrative or office management experience, including scheduling, purchasing, budget management, and student information systems.

Demonstrated proficiency with technology and standard office software applications.

Strong organizational, interpersonal, and written and verbal communication skills.

Ability to establish and maintain positive working relationships with staff, students, families, and the public.

Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

Required criminal history background clearance and satisfactory physical examination.

Proof of U.S. citizenship or authorization to work in the United States.

Essential Duties:

  • Assist the Director of Early Childhood Education in coordinating district early childhood initiatives, supporting Family Advocates in monitoring student attendance, and facilitating the efficient operation of department programs and services.
  • Provide administrative support to the Fiscal Specialist in the development, monitoring, and management of departmental budgets and financial operations.
  • Serve as the primary point of contact for visitors, families, staff, and community members by providing professional customer service, responding to inquiries, and directing individuals to appropriate personnel.
  • Coordinate departmental communications by managing telephone calls, email correspondence, and other communications in a timely and professional manner.
  • Maintain accurate and organized departmental records, calendars, schedules, reports, and confidential files to support efficient office operations.
  • Prepare, proofread, and distribute correspondence, memoranda, reports, forms, purchase requests, payment documentation, and other administrative materials.
  • Coordinate purchasing activities by collecting, reviewing, and maintaining supporting documentation necessary for requisitions, purchase orders, invoices, and other financial transactions.
  • Coordinate the preparation, collection, and submission of documentation required for Board of Education agenda items in collaboration with Central Office departments.
  • Maintain accurate student information and records within the district's student information system, including OnCourse.
  • Coordinate daily employee attendance, substitute coverage, and related records in collaboration with the Personnel Services Department.
  • Conduct research and compile information using district systems, online resources, and other available tools to support departmental operations and administrative decision-making.
  • Provide administrative and clerical support to the Director of Early Childhood Education and departmental staff by performing other duties as assigned.

Technology Skills

Ability to be proficient in computer applications pertinent to support the position, including but not limited to Microsoft Office, Microsoft Excel, Google Suite, OnCourse Employee Portal and Student Information System and Systems 3000.

Compensation: As per HEA Contract $53,683 - $59,728
