Position Summary                                                                          

The ECW Builder / Analyst serves as Mary's Center's primary eClinicalWorks (eCW) configuration specialist, responsible for the full lifecycle of EHR build, optimization, and support across the organization's Federally Qualified Health Center (FQHC) enterprise. This role partners closely with the CMIO, clinical operations, and the Health Information Technology team to translate clinical workflow requirements into robust, standards-aligned eCW configurations that support Mary's Center's mission of delivering integrated, high-quality care to underserved populations in the Washington, D.C. and Maryland region. Salary: $80-$100/h based on experience.

Essential Duties and Responsibilities

Clinical Template Design & Build 

  • Designs, builds, and maintains eCW clinical templates across the full scope of services — including encounter forms, Notes templates, flowsheets, smart text (auto-text), structured data fields, chief complaint protocols, and assessment/plan sections across primary care, behavioral health, dental, OB/GYN, and care management. 
  • Builds and maintains behavioral health documentation templates including PHQ-9, GAD-7, AUDIT-C, DAST-10, SBIRT, Columbia Suicide Severity Rating Scale (C-SSRS), treatment plans, and warm handoff notes — critical given Mary's Center's integrated behavioral health model. 

    Scheduling Configuration 

    • Builds and maintains eCW scheduling configuration across all Mary's Center sites: appointment types, provider templates, recall types, multi-site scheduling rules, and site-specific schedule structures. 

    Care Coordination & Workflow Modules 

    • Configures eCW's Telephone Encounter and Task Management modules to support care coordination, nurse triage, prescription refill, and referral tracking workflows. 
    • Maintains eCW's Document Management and eFax configuration for inbound referral documentation, lab results, and specialist correspondence. 

    Preventive Care, Recall & Patient Education 

    • Manages eCW's Recall and Patient Education features; builds preventive care protocols and chronic disease management reminders aligned to UDS clinical quality measure (CQM) targets and quality improvement priorities. 

    Build Lifecycle & Change Management 

    • Executes full build lifecycle: requirements gathering from clinical staff → specification → build in eCW V-Train environment → unit testing → user acceptance testing (UAT) with end-users → sign-off → production promotion → post-deployment monitoring. 
    • Supports eCW upgrade regression testing: reviews eCW release notes, identifies builds and templates impacted, executes test scripts, and documents results prior to version promotion. 

      Registry & Worklist Configuration 

      • Builds and maintains eCW patient registry infrastructure supporting needs-based care delivery — including cohort definitions, risk stratification logic, and dynamic worklist views for clinical and care coordination teams. 
      • Configures registry-driven worklists for targeted patient cohorts including coverage-at-risk, post-discharge follow-up, uninsured gap populations, and high-risk chronic disease panels. 
      • Maintains eCW worklist routing rules and task assignment logic to ensure the right care team member receives actionable outreach tasks at the right time. 

          HIE & ADT Feed Integration 

          • Supports configuration and testing of inbound ADT (Admit/Discharge/Transfer) notification feeds from external health information exchange sources into eCW, enabling real-time care team alerts for hospital and ED encounters. 
          • Maintains eCW interface mappings for HIE data feeds; coordinates with integration engineers to validate data fidelity and ensure imported encounter data populates correctly into patient records and registry workflows. 

            Front Desk & Intake Automation 

            • Configures eCW intake and front desk workflows to support automated eligibility screening, visit type routing, and structured data capture at the point of scheduling and check-in. 
            • Builds and maintains patient portal and intake form configurations that feed structured clinical and social determinants data directly into the eCW chart for care team use. 

              Community Health Worker & Care Team Workflow Support 

              • Builds eCW task management and telephone encounter templates to support Community Health Worker (CHW) and frontline care team workflows — including ED follow-up outreach, care gap closure, and warm handoff documentation. 
              • Configures care management encounter types and documentation templates that enable structured tracking of care coordination activities, patient contact attempts, and intervention outcomes. 

                Panel Management & Provider Data Integrity 

                • Supports eCW provider profile configuration and PCP assignment workflows; builds data validation tools and reporting views to identify and remediate duplicate provider profiles and inaccurate panel assignments. 
                • Configures provider template structures and scheduling rules that reflect accurate panel compositions and support population-level care gap reporting. 

                  Outreach & Patient Engagement Configuration 

                  • Configures eCW outreach campaign logic, recall rules, and automated messaging workflows to support proactive patient outreach for preventive care, chronic disease management, and care gap closure. 
                  • Builds and maintains structured documentation templates that capture patient engagement status, outreach attempt outcomes, and care plan progress across the care team. 

                    Minimun Qualifications

                    Education & Experience 

                    • Bachelor's degree in health informatics, information technology, nursing, health sciences, or a related field; equivalent experience considered. 
                    • Minimum 2–3 years of hands-on eClinicalWorks configuration and build experience, ideally within an FQHC or community health center setting. 
                    • Demonstrated experience building eCW clinical templates, order sets, and scheduling configurations in a production or V-Train environment. 

                        Technical Skills 

                        • Proficiency in eCW modules: Notes / Smart Text, Order Management, Scheduling, Telephone Encounters, Document Management, Immunization, and Patient Education. 
                        • Working knowledge of HL7 interfaces, including VXU immunization registry transactions. 
                        • Familiarity with EPCS configuration requirements and controlled substance prescribing workflows. 
                        • Understanding of FQHC-specific requirements: UDS reporting, sliding fee discount structures, and HRSA program compliance. 

                              Preferred Qualifications 

                              • eClinicalWorks certification or equivalent vendor-recognized training credential. 
                              • Experience supporting behavioral health EHR documentation workflows, including validated screening instruments (PHQ-9, GAD-7, C-SSRS, SBIRT). 
                              • Prior experience with DC Immunization Registry (DC IZ) interface configuration. 
                              • Familiarity with ACO quality measures, HEDIS, or MSSP performance reporting. 

                              Language Requirement – Ability to communicate effectively in English is required.  Additional language proficiency or fluency in Spanish preferred.

                              Physical Demands – Regularly required to sit; frequently required to reach with hands and arms, walk, stoop, kneel, crouch, talk or hear; must be able to lift objects up to twenty-five (25) pounds. 

                              Work Environment – Mostly in a typical office and/or home setting with quiet to moderate noise level.  May be exposed to extreme cold, heat, and humidity due to outside weather conditions
