Job Description SUMMARY
Plan, direct, or coordinate supportive services, such as record keeping, customer reporting, development of LFI and driver training
materials. Provide high-level compliance support by conducting research, management system audits, preparing statistical reports,
managing information requests, and office management responsibilities as assigned. Manage commercial vehicle driver qualifications to include driver qualification files, physical qualifications and EHS final review for DOT hire and status changes. Gather, evaluate and
prepared summaries of data requested by internal and external customers as well as regulatory agencies. Manage, review, and paymentof DOT related citations and EHS regulatory invoices. Organization, critical thinking, decision making skills are required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Perform office management tasks such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work
Manage day to day accounting activities including processing accounts payable invoices, expense reimbursements, purchase requisitions and check requests
File and retrieve corporate documents, records, and reports
Prepare responses to correspondence containing routine inquiries
Management of Driver Qualification Files, updating current driver and terminated driver files, manage, coordinate and assure all driver files are compliant and
current
Be competent in utilizing Ten Street software to maintain these records as well as producing and presenting records for audit
Be competent in utilizing telematics technology platform / electronic logging devices (such as Samsara & Samba) including ability to audit and produce reports
Review applicants for CDL positions, ensure minimum qualifications are met before hire and status change from trainee
Monitor and enforce compliance with FMCSA for new hire driver status and ensure regulatory requirements are met prior to approval as active driver
Stay current with all the applicable outside agencies and customer requirements with regard to driver files
Maintain log of confined space entrance and exit call ins
Maintain transport registers and KPI records and files
Direct and assist with management of safety related award and incentive programs
Distribute cards and certificates of training to employees as needed
Assist with management and distribution of awards and recognition items and programs
Notifications for expirations for driver license, med cards, hazmat endorsements, and hazmat training
Verify, create, and distribute Martin issued ID cards
Gather, maintain and evaluate requested information to complete surveys, questionnaires, and electronic data requests for review and distribution
Prepare, track and submit payments for citations issued for related violations, permit(s), renewals, and other EHS related payment submissions as requested.
Be competent in physical qualifications for all Martin positions and assist Physical Qualifications Manager in performance of duties
Support the implementation and maintenance of the corporate EH&S management software
Support EH&S staff in records management
Job Requirements EDUCATION / EXPERIENCE
4-year college degree (or equivalent)
2-year college degree or extensive work experience in a directly related field required.
Minimum of three years related experience or any further education/training associated with environmental and safety courses, or equivalent combination of education and experience.
