Job Title: ELC Events Coordinator

Report to: ELC Director

The ELC Events Coordinator is responsible for planning and coordinating preschool and school-age events, overseeing event-related purchasing and logistics, supporting fundraising initiatives, and assisting with school-age staff coordination. This individual will work closely with the ELC Director and leadership team to ensure events and programs are organized, engaging, and aligned with the mission and values of the school.
This position requires strong organizational skills, attention to detail, collaborative leadership, and a Christ-centered attitude that reflects the school’s commitment to serving children, families, staff, and the community.

Key Responsibilities

Event Planning & Coordination

  • Plan, organize, and coordinate preschool and school-age program events throughout the school year, including but not limted to:
    • Meet & Greets
    • Open Houses
    • Conferences
    • Fall Festival
    • Christmas Program
    • Grandparents’ Day
    • Spirit Wear Days
    • Picture Days
    • Summer Programs
    • Graduation
    • Outreach and special events
  • Communicate with event venues, vendors, and field trip locations regarding scheduling, requirements, contracts, and pricing.
  • Coordinate event logistics including setup, cleanup, transportation, meals, supplies, audiovisual needs, and staffing support.
  • Assist in monitoring events and field trips to help ensure student safety, appropriate supervision, and compliance with school policies and procedures.
  • Maintain positive and professional relationships with staff, families, vendors, and community partners.

School-Age Staff Coordination

  • Serve as a point of contact for School-Age staff regarding scheduling and operational communication.
  • Assist with staff schedules and time-off requests to ensure proper coverage and support during programs and events.
  • Facilitate communication between staff, administration, and the Preschool Director.
  • Provide operational support when the Preschool Director or Operations Manager is unavailable.

Behavioral & Student Support

  • Assist administration in addressing behavioral concerns involving school-age students.
  • Support staff in maintaining a safe, respectful, and Christ-centered learning environment.

Purchasing & Procurement

  • Source and coordinate vendors, suppliers, and services needed for events and program activities.
  • Assist with vendor communication, pricing comparisons, subscriptions, and purchasing coordination.
  • Track event expenses, invoices, and purchasing records while maintaining budget awareness.
  • Maintain organized documentation related to vendors, purchases, contracts, and event timelines.

Fundraising & Outreach

  • Assist in planning and implementing fundraising initiatives to support program and facility needs.
  • Coordinate fundraising events, volunteer support, donation tracking, and promotional efforts.
  • Maintain accurate fundraising records and assist with reporting updates to administration.
  • Support grant applications and donation opportunities in collaboration with the Preschool Director.
  • Help foster positive relationships with families, donors, volunteers, and community supporters.
Additional Duties
  • Support school-wide initiatives and community events. 
  • Attend required faculty meetings and professional development sessions. 
  • Attend and support occasional evening and weekend events, such as open houses and other school-sponsored activities.
  • Perform other duties as assigned by the ELC Director.

Qualifications

  • Strong commitment to the mission and philosophy of Christian education.
  • Bachelor’s degree preferred; Associate degree considered, preferably in Early Childhood Education, Business, Communications, or a related field.
  • Prior experience in event planning, fundraising, school programs, or early childhood settings preferred.
  • Strong organizational and time-management skills with the ability to manage multiple responsibilities and deadlines effectively.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong attention to detail, problem-solving abilities, and follow-through.
  • Demonstrates professionalism, discretion, and the ability to maintain confidentiality.
  • Ability to work collaboratively and build positive relationships with staff, families, volunteers, and community partners.
  • Proficiency with technology, scheduling systems, communication platforms, and basic budgeting or record-keeping processes.
