Position: Elementary School Secretary Location: Lincoln K-2 School Reporting Relationships: The Assistant Principal reports to the Lincoln K-2 Principal Terms of Employment: Full-Time, Twelve months per year Salary: As per Secretary Contract This position qualifies for town benefits, including Health Insurance General Overview: Franklin Public Schools is seeking a school secretary to ensure the smooth and efficient operation of the school office. Key Duties and Responsibilities:
Perform routine office and administrative functions to support the daily operations of the school and administrative office
Receive, respond to, and appropriately route incoming telephone calls, messages, and inquiries
Maintain the student information database by entering, updating, and retrieving student records
Maintain accurate and confidential student records and files
Process student report cards
Build and process student schedule changes and adjustments
Greet visitors, provide assistance, and ensure compliance with visitor sign-in procedures
Maintain daily staff attendance records and related documentation for substitute teachers
Report staff attendance information to the Payroll Office
Coordinate and schedule meetings and prepare meeting materials as needed
Make public address (PA) announcements, as necessary
Prepare, type, and distribute school newsletters and other communications
Coordinate mass mailings to students'' homes
Order, maintain, and monitor office and school supplies
Process purchase orders and invoices for payment and monitor expenditures for budget allocation
Assist in the preparation and monitoring of the school budget
Sort and distribute mail; photocopy, file, and maintain correspondence, invoices, records, and other documents
Schedule appointments for the Principal, as needed
Perform other duties and responsibilities as assigned by the Principal
Qualifications:
High School Diploma or equivalent, Associate''s degree preferred
Previous secretarial/administrative experience
Familiarity with Microsoft Office, Google Suite, and other software applications
Proficiency in use of e-mail and financial software
Ability to maintain confidentiality
Ability to effectively and professionally interact with children, parents, staff
