Position Overview\n
Lila and Hayes is looking for an exceptionally organized and detail-oriented Personalization & Order Coordinator to join our team and help keep our growing personalization and embroidery business running smoothly.

Reporting to the Director of Personalization & Embroidery, this position will help manage personalized and embroidered orders from start to finish, ensuring that ecommerce and wholesale orders are organized, accurate, and completed on time. The role will also work closely with our Director of Wholesale – Green Grass & Resort to coordinate wholesale embroidery orders.

No embroidery experience is required. We are looking first and foremost for someone who is exceptionally organized, accuracy-driven, proactive, and committed to getting every detail right. The ideal candidate takes ownership of their work, follows through consistently, and naturally catches details others may miss.

The right person will also be excited to learn the embroidery process, work with beautiful Lila and Hayes products, and be part of a collaborative, hands-on team.
Key Responsibilities
Personalization & Embroidery Operations\n

- Coordinate the daily flow of personalized and embroidered orders
- \n
- Prioritize orders based on deadlines and business needs
- \n
- Organize incoming orders and ensure all personalization details are complete and accurate
- \n
- Maintain order tracking and production schedules
- \n
- Monitor turnaround times and proactively address delays, errors, or missing information
- \n
- Help coordinate work across the embroidery team to keep orders moving efficiently
- \n
- Review completed embroidery and personalization for accuracy and quality
- \n
- Maintain a high level of organization throughout the entire process
- \n
- Ensure products and orders are properly tracked and accounted for from beginning to completion
- \n
Ecommerce Orders\n
- \n
- Organize ecommerce personalization orders from Shopify and internal order sheets
- \n
- Maintain accurate order information within embroidery and personalization tracking systems
- \n
- Pull and organize products needed for embroidery
- \n
- Verify monograms, names, fonts, thread colors, placement, and other personalization details before production
- \n
- Coordinate with the ecommerce team regarding order questions, changes, and timing
- \n
- Ensure completed personalized orders are prepared and routed correctly for fulfillment and shipping
- \n
- Help monitor turnaround times and customer order deadlines
- \n
Wholesale Embroidery\n
- \n
- Work closely with the Director of Wholesale – Green Grass & Resort to coordinate the embroidery portion of wholesale orders
- \n
- Organize incoming wholesale embroidery orders and associated products
- \n
- Track logos, embroidery details, quantities, deadlines, and order status
- \n
- Verify logo files, thread colors, placement instructions, and other production requirements
- \n
- Communicate closely with the wholesale team regarding missing information, questions, timing, and completed orders
- \n
- Help ensure wholesale embroidery orders are completed accurately and on schedule
- \n
Team & Production Support\n
- \n
- Help organize and prioritize work for Embroidery Operators
- \n
- Support consistent embroidery processes and quality standards
- \n
- Learn Lila and Hayes embroidery machines, processes, and personalization standards
- \n
- Assist with embroidery, hooping, finishing, cleaning, folding, or repackaging when needed
- \n
- Help troubleshoot workflow and production issues
- \n
- Be willing to step in wherever needed to keep orders moving
- \n
Process & Organization\n
- \n
- Identify opportunities to improve processes, organization, accuracy, and efficiency
- \n
- Maintain clear procedures and documentation for personalization and embroidery workflows
- \n
- Help manage embroidery supplies and communicate replenishment needs
- \n
- Develop and maintain systems that help prevent errors and ensure consistency
- \n
- Maintain exceptionally accurate records and order tracking
- \n
Qualifications\n

- College degree
- \n
- Exceptional attention to detail and commitment to accuracy

- Exceptionally organized with the ability to keep track of many details at once

- Strong follow-through and sense of ownership

- Proactive and able to anticipate needs or potential problems

- Able to manage multiple orders, deadlines, and priorities simultaneously

- Comfortable working with spreadsheets, Shopify, and other operational systems

- Strong communication and coordination skills

- Able to work effectively across multiple departments

- Comfortable working in a hands-on environment and assisting with physical tasks when needed
- \n
- Previous embroidery experience is not required, but an interest in learning embroidery equipment and processes is important
- \n
- Previous experience in operations, order management, ecommerce, personalization, apparel, fulfillment, or another detail-intensive environment is a plus
- \n
