Serves as the first point of contact for the Police Department, Fire Marshal’s Office, and Office of Emergency Management by greeting the public both in person and by telephone. The position requires general knowledge of emergency services functions and procedures in order to answer questions, resolve routine problems, and relay complaints or service requests to the appropriate staff. Performs a variety of detailed clerical and administrative support tasks using computerized systems to prepare correspondence, forms, and reports, and maintains both computerized and manual files and records with accuracy and confidentiality
ESSENTIAL JOB FUNCTIONS:
- Performs front desk duties including but not limited to; greet and assist residents/visitors and answer questions and provide general information. Answer all calls that are received through the main Township line, record messages and/or inquiries for appropriate staff. Initiates Service Requests to various departments.
- Assists Chief of Police with administrative tasks connected with department operations.
- Assists Fire Marshal with administrative tasks connected with Business Registration programs and general code enforcement matters.
- Assists the Social Services Liaison with data entry and program development.
JOB STANDARDS: (Minimum qualifications needed to perform essential functions)
- Ability to communicate effectively and to provide clear explanations on procedures and regulations utilizing good interpersonal skills, courtesy, tact, and goodjudgment.
- Ability to handle extensive public contact and remain calm in stressfulsituations.
- Ability to gain a working knowledge of the purpose, practices, and policies of the Community Development Department and to practically apply asappropriate.
- Strong PC skills and ability to use automated office systems including MS Office Suite including but not limited to Word, Outlook, Excel, Power Point, etc., file maintenance and record keepingsystems.
EDUCATION, EXPERIENCE AND TRAINING:
- H.S. Diploma or the equivalent.
- Previous administrative or secretarial experience preferred.
- Knowledge and experience working in Microsoft Office Suite
- Valid driver’s license required.
