Description and Functions

GENERAL DESCRIPTION:

The Wyoming Department of Workforce Services, Division of Workers Compensation, is committed to providing a continuum of services to our customers, including support for successful re-employment. This position plays a vital role in advancing return-to-work objectives while serving as a key point of contact for customers. Through professional and courteous front-desk interactions, this position helps establish a foundation for exceptional customer service and fosters positive relationships with injured workers, employers, healthcare providers, and the public.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

  • Performs first-line customer service, including greeting walk-ins, answering phones, answering inquiries, or directing the appropriate staff member.
  • Performs various functions for staff and administration.
  • Explains Division policy, procedures, and practices regarding general non-case-specific requests for information.
  • Directs customers to appropriate claims analysts for case-specific information.
  • Monitors and maintains fax machines/copiers and office printers.
  • Distributes printed material appropriately.
  • Performs troubleshooting and determines the need for professional technical assistance.
  • Receives, date-stamps, and distributes incoming correspondence from walk-in customers, FedEx, and UPS, signing for documents as necessary.
  • Processes outgoing correspondence for mail or FedEx.
  • Responsible for the disposal of confidential printed information.
  • Researches and retrieves information from case files using computer Coresuite and imaging systems.
  • Schedules medical appointments and prepares medical documentation for inclusion with the appointment.
  • Responsible for file reproduction for the appellate process and researching and resolving record requests from other entities.

Qualifications

PREFERENCES/AGENCY PREFERENCES:

Preference may be given to those with an Associates Degree in Business Office Communications.

Preference may be given to those with 2-4 years of progressive work experience in Business Office Communications.

KNOWLEDGE:

  • Knowledge of applicable federal, state, and local laws, codes, regulations, and policies, technical processes, and procedures related to the Division of Workers Compensation.
  • Knowledge of techniques for providing a high level of customer service.

PHYSICAL WORKING CONDITIONS:

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • This is an at-will Employee Contract position with limited State Benefits.
