Job Summary

Provide clerical assistance in support of the operation, process, and documents as it relates to all functions of the Human Resources Department. In-person work on campus is an essential function of this position.

Essential Functions

Greet visitors, answer phones, take messages, route calls and follow-up, respond to email inquiries, and refer to appropriate district office or support services, including employment opportunities.

Provide informational assistance to prospective and current employees. Assist applicants with navigation and questions regarding the online applicant tracking system. Review applications and related documentation to ensure compliance with district policies and governmental regulations. Advise applicants regarding outstanding documentation and assist in the resolution of discrepancies. Scan supporting documents and attach to applications as requested.

Responsible for processing I-9 forms and entering them into the E-Verify system. Create and maintain a pending employment filing system for all confidential payroll and personnel related documents, including employment applications, I-9s, W4s, transcripts, etc. Keep track of new hires and assist with the background check process.

Coordinates and posts employment opportunities through a variety of recruitment platforms, including social media, online job boards, workforce agencies, and other advertising sources to maximize applicant outreach. Maintain job announcement log, prepare position vacancy announcement and distribute district-wide via email. Responsible for inventorying position documentation folders and storing them.

Provide backup clerical assistance as needed, including data entry, proofing, copying, and distribution of personnel documentation. Prepare and distribute routine correspondence and ensure computers in the lobby are operational.

Perform other duties as assigned.

Qualifications

Required Qualifications:

  1. Associate's Degree and two (2) of related experience or an equivalent combination of education and experience whichdemonstrates possession of the required knowledge, skills, and abilities.

NOTE: A copy of the transcript reflecting this required education MUST be submitted for consideration and reflectcompleted coursework and degrees conferred. The candidate must be fully qualified for the position at the time ofapplication.

  2. Basic knowledge of I-9 process.

  3. Ability to pay attention to detail and good organizational skills.

  4. Ability to prioritize and handle multiple tasks simultaneously.

  5. Knowledge of basic personnel practices.

  6. Ability to maintain an extremely high regard for confidential and sensitive information.

  7. Proficient computer skills, including internet navigation, Microsoft Word, and Excel.

Transcripts issued in a language other than English must be accompanied by a full translation (word for word) by a current member of the National Association of Credential Evaluation Services (NACES). Additionally, each foreign transcript must be evaluated for equivalency to United States accredited coursework.
