Job Description

The EMSA Business & Technology Coordinator independently analyzes divisional business and technology needs and coordinates solutions across Enrollment Management and Student Affairs. The position supports assigned enterprise applications, investigates complex operational and system issues, leads or coordinates technology-related projects, manages divisional technology assets and access processes, and recommends improvements that strengthen service delivery, compliance, security, and business continuity. The position works under general direction and collaborates with EMSA departments, UTC Information Technology, Procurement, Finance, Facilities, Public Safety, vendors, and other campus partners.

The position does not establish university-wide technology strategy or replace the authority of central Information Technology, Procurement, Information Security, system owners, or data stewards. It provides divisional analysis, functional support, coordination, project leadership, and evidence-based recommendations within approved policies and delegated authority.

Competencies/Qualifications

  • Knowledge of business analysis, systems support, process improvement, project coordination, technology lifecycle management, and customer-service principles.
  • Ability to independently analyze complex operational and technology issues, identify root causes, evaluate options, and present practical recommendations.
  • Ability to translate between business and technical stakeholders and communicate clearly with users at different levels of technical knowledge.
  • Ability to coordinate multiple systems, projects, deadlines, vendors, and stakeholders while maintaining accurate records and follow-through.
  • Ability to assess operational risk, protect confidential information, and follow university security, privacy, procurement, records, and acceptable-use requirements.
  • Ability to lead meetings, facilitate decisions, manage conflict, and influence work without formal authority.
  • Skill in requirements documentation, process mapping, testing coordination, report preparation, training, and standard operating procedure development.
  • Proficiency with Microsoft 365 and the ability to learn and support enterprise software applications

Minimum Qualifications: Bachelor''s degree in information technology, computer information systems, business administration, higher education administration, business analytics, project management, or a related field.

Experience four years of progressively responsible experience in business systems analysis, enterprise application support, technology operations, project coordination, process improvement, or a related field. Experience must include independent problem analysis and coordination across multiple stakeholders. Equivalent combination of education, training, and relevant experience may be considered.

Preferred Qualifications: Master's degree. Experience supporting enterprise applications in higher education, student affairs, enrollment management, or another complex service environment gathering business requirements, mapping processes, coordinating user acceptance testing, and supporting system implementations or upgrades.

Experience with technology asset management, role-based access, procurement coordination, vendor management, contract renewals, or business continuity planning. Leading cross-functional projects without direct supervisory authority. Project management, business analysis, IT service management, change management, or relevant application certification.

Business and Systems Analysis

  • Independently assess departmental workflows, technology needs, service challenges, and operational risks.

  • Gather and document business requirements; map current-state and future-state processes; translate operational needs into functional requirements.

  • Analyze the causes and effects of system, process, access, and service issues and recommend appropriate system, process, training, or policy solutions.

  • Evaluate proposed changes based on operational impact, risk, cost, service continuity, feasibility, and alignment with divisional priorities.

  • Facilitate process-mapping, requirements-gathering, and solution-review sessions with technical and non-technical stakeholders.

  • Serve as a divisional functional resource for assigned enterprise and administrative technology platforms.

  • Investigate complex system errors, workflow failures, integration concerns, access problems, and recurring user issues; coordinate resolution with appropriate technical owners and vendors.

  • Coordinate user acceptance testing, system upgrades, configuration reviews, release readiness, documentation, communication, and post-implementation support.

  • Maintain application support information, system ownership records, vendor contacts, escalation paths, and continuity documentation.

  • Monitor patterns in incidents and service requests and recommend sustainable corrective actions.

  • Assigned platforms may include StarRez, Banner, Maxient, TouchNet, 25Live, TMA, Medicat, Fusion, Bluefin, MocSync, and other EMSA systems. The supervisor will establish the employees' primary and secondary system portfolio.

Technology Projects and Process Improvement

  • Maintain centralized records for EMSA technology assets, assigned users, warranties, software licenses, and lifecycle status.

  • Coordinate equipment deployment, reassignment, recovery, replacement, imaging, surplus, and disposal with appropriate campus offices.

  • Coordinate role-based system and facility-access requests for onboarding, transfers, job changes, and offboarding.

  • Conduct or coordinate periodic inventory and access reviews; identify discrepancies, inappropriate access, unsupported technology, and continuity risks.

  • Maintain checklists, records, and continuity documentation that support audit readiness and uninterrupted divisional services.

  • Escalate suspected unauthorized access, data exposure, cybersecurity events, or extended service outages according to university requirements.

Vendor, Procurement, and Technology Lifecycle Coordination

  • Coordinate vendor meetings, demonstrations, support cases, implementation activities, upgrades, and service-performance discussions.

  • Track software renewals, license commitments, warranties, contract milestones, support terms, and required documentation.

  • Obtain quotes and compare pricing, functionality, support levels, implementation requirements, and total lifecycle costs.

  • Prepare evidence-based recommendations for technology purchases, replacements, renewals, and investments for leadership review.

  • Coordinate approved purchasing and contract documentation with EMSA Business Affairs, Procurement, Information Technology, and other authorized offices.

Reporting, Documentation, Training, and Governance

  • Maintain divisional technology project, issue, risk, renewal, and decision records.

  • Prepare concise reports on technology operations, investments, risks, dependencies, and project status for EMSA leadership.

  • Develop and maintain standard operating procedures, user guides, support resources, and training materials.

  • Provide training and consultation to technical and non-technical users on approved systems and processes.

  • Participate in relevant divisional and campus technology, operations, and project meetings.
