Engagement Program Specialist Level 2 - On-Site

Overview

This customer service-driven position encompasses event logistics, cross-organizational collaboration, initiative, stakeholder ownership, and the ability to drive complex engagements and escalations from planning through completion without constant direction. The role spans two workstreams: engagement logistics and engagement topic escalations. In engagement logistics, you will partner with engagement program managers and liaise with senior account team members and multiple internal teams to own critical delivery stages, from managing requests through day-of execution. In engagement topic escalations, you will work with engagement program managers, content leads, topic owners, and speakers to schedule speakers successfully across a portfolio of world-class executive briefing topics.

You will work directly with the manager to deliver results. Multiple teams, including culinary, furniture, and technology, rely on the accuracy of your work in real time. You will manage competing priorities across multiple engagements simultaneously and are expected to lead, not just support. The strongest team members bring energy and presence to every interaction, lean into the work, find joy in the pace, and continually look for ways to make each engagement better than the last. What You'll Do

Engagement Program Ownership

  • Own full end-to-end management of engagements, from request intake through day-of execution.
  • Serve as the primary liaison among the manager, engagement program managers, account teams, and content leads.
  • Coordinate speaker logistics, room setup, audiovisual requirements, dietary details, and real-time problem resolution.
  • Track and enter fee data accurately; multiple downstream teams depend on the precision of your entries.

Stakeholder Communication & Coordination

  • Manage complex calendar scheduling across multiple stakeholders with competing priorities.
  • Communicate proactively with the manager, engagement program managers, and content leads about engagement status, changes, and escalations.
  • Lead or co-lead preparation meetings and stakeholder check-ins.

Program Operations & Innovation

  • Identify and own opportunities to improve logistics, escalations, documentation, and workflows.
  • Become a subject matter expert by documenting, optimizing, and continuously improving how the team operates.
  • Maintain accurate program data and reporting using Excel, Power BI, Microsoft Teams, Microsoft Copilot, and Outlook.
  • Leverage AI tools, including Microsoft Copilot, and stay actively curious about emerging AI capabilities.
  • Align with the manager to support teammates during absences.
  • Collaborate across the team on shared engagements.

Team Collaboration & Culture

  • Bring energy and an active presence to this visible role, including keeping your camera on during virtual interactions.

Experience & Skills

  • Experience working on and leading teams as both a contributor and a driver.
  • Proven track record managing projects or programs with multiple stakeholders across teams.
  • Strong proficiency with Microsoft 365, including Outlook, Microsoft Teams, Excel, Power BI, and Microsoft Copilot.
  • Background demonstrating creative focus, grit, and the ability to work independently and collaboratively, such as athletics, music, arts, student leadership, or clubs.
  • Experience navigating sudden, unexpected changes in direction and delivering results.
  • Demonstrated ability to produce results in open-ended, ambiguous environments with minimal guidance.
  • No minimum years of experience required; demonstrated accomplishments and approach matter more than tenure.

Compensation: Prime 8 uses different pay ranges based on level of position, relevant experience and specific candidate location. The pay range for this role is between $79,040 - $89,440 per year (based on full time employment), plus employee benefits.
