Job Title: Engineering Administrative Assistant

Job Description

This role provides critical administrative and operational support to a production engineering department focused on final assembly and new model preparation at North America Manufacturing Centers. The Engineering Administrative Assistant enters, tracks, and manages requisitions and purchase orders, maintains budget and spend management tools, and supports asset tracking in alignment with accounting rules. The position requires a highly organized, detail-oriented professional who is proficient in Microsoft Office, especially Excel, and who can effectively support engineering teams in a fast-paced, professional office environment.

Responsibilities

  • Enter, track, and manage engineering requisitions in the appropriate systems to ensure accurate and timely processing.
  • Enter, track, and manage purchase orders to support engineering activities and departmental operations.
  • Prepare, update, and maintain Ringi budget update reports to support operating budget tracking and visualization.
  • Maintain and update Excel-based tracking files to monitor requisitions, purchase orders, budgets, and related engineering activities.
  • Update and manage the Ringi spend management database, including maintaining links and ensuring data accuracy.
  • Update and maintain the technical assistance manpower database to reflect current resource allocation and support needs.
  • Track operating budgets, visualize spending, and manage budget information to support effective financial oversight for the department.
  • Support the tracking of assets created through internal systems, ensuring all assets are recorded accurately and maintained in alignment with accounting rules.
  • Assist with asset determinations based on established accounting guidelines and rules.
  • Identify and support administrative process improvements to enhance efficiency and accuracy within the department.
  • Create, maintain, and track administrative assets and documentation, including document control and filing activities.
  • Provide general administrative support to the engineering team, including scheduling, calendar management, and coordination of meetings as needed.
  • Support the Production Engineering Assembly department's objectives related to assembly process and equipment development for new model launches, refurbishment projects, and continuous improvement (Kaizen) initiatives.
  • Communicate effectively with engineering staff and other stakeholders to ensure clear understanding of administrative processes and requirements.
  • Learn and use new business databases and applications to support administrative and engineering functions.

Essential Skills

  • Associate's degree in business administration, accounting, finance, management, or equivalent experience in an administrative position in a business environment.
  • Experience working with Microsoft Office products.
  • Proficiency in Microsoft Excel, including the ability to quickly create formulas, manage spreadsheets, and develop charts and graphs.
  • Strong typing skills with a speed of 60 or more words per minute.
  • Ability to communicate effectively in a professional office environment, both verbally and in writing.
  • Proficiency in learning and using new databases and business applications.
  • Experience in administrative support, including document control and file management.
  • Ability to work up to 20% overtime when required.
  • Experience using Microsoft Office, including Word, Excel, and other related tools.
  • Familiarity with administrative assistant responsibilities and general office administration.

Additional Skills & Qualifications

  • Experience with SAP Ariba or similar procurement and spend management systems.
  • Japanese language proficiency.
  • Experience in document control, file clerk responsibilities, or similar roles.
  • Background or coursework in business or related fields.
  • Experience supporting engineering or technical teams in a business environment.
  • Strong attention to detail and organizational skills, particularly in handling financial and asset tracking data.
  • Ability to identify and contribute to administrative process improvements.

Work Environment

This position is based on-site in a professional office environment within a production engineering facility. The role supports a final assembly production engineering department focused on new model preparation, refurbishment, and continuous improvement activities. The position sits in a new production engineering and manufacturing center building and requires regular collaboration with engineering teams and other office staff. Work is primarily computer-based, using Microsoft Office (especially Excel), business databases, and procurement systems such as SAP Ariba. The role may involve periods of overtime, with an expectation of up to approximately 12-20% overtime depending on business needs. The environment emphasizes professionalism, accuracy, and teamwork in support of engineering and operational objectives.

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
