Some of what you'll be doing:

As an Engineering Business Services Specialist, you will support the Engineering team by maintaining all personal and professional service agreements (SA), service directives (SD), amendments, and modifications per Port Central Procurement Office (CPO) policies and procedures. You will also maintain records for approved budgets, regulatory agreements, and Commission authorizations to support procurement and contracting and will facilitate the procurement process for project specific professional and personal services.

+ You will ensure documentation complies with CPO requirements and Port procurement/contracting procedures.

+ You will provide contract and accounting information to CPO/Account Payables (AP) and enter requisition into PeopleSoft to produce and establish a purchase order (PO).

+ You will maintain department contract files and establish and maintain tracking of critical contract dates, deadlines, and Women and Minority-Owned Business Enterprise (WMBE) utilization.

+ You will assist with and coordinate new procurements and purchasing acquisitions.

+ You will communicate with CPO to assess the status of submitted SDs and execution of new SD/SD modifications. You will also maintain and communicate contract/SD schedule and budget.

+ You will respond to contract audit requests by State Audit Office, Financial Statements auditors, Port internal auditors, and grant funding agencies. You will also meet with internal and external auditors to review contract files.

Who you are:

+ Experienced – You have three (3) years of experience in procurement and/or contract management.

+ Proficient – You have knowledge of procurement policies, procedures, and practices as they relate to service agreements. You also have knowledge of contract lifecycle processes and tracking tools used to monitor deadlines and are skilled at monitoring WMBE utilization to ensure alignment with established participation goals.

+ Efficient Communicator – You have strong written and verbal communication skills.

+ Highly Organized – You possess strong organizational and time management skills. You can maintain a tracking system for contract dates, including renewals, deliverables and deadlines.

+ Technically Skilled – You have knowledge of PeopleSoft, Management Information System, Contractor Data system, and have proficiency with Microsoft Office Suite and SharePoint.

What else you need to know:

+ Work Schedule – Your normal work schedule will be Monday – Friday, 8:00 a.m. to 5:00 p.m. (40 hours per week). Slightly more flexible start and end times are available in this role.

+ Work Environment - This work will take place in a hybrid/in-office setting at Management’s discretion.

+ Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.

+ Overtime Eligible – You are eligible for overtime pay in this role.
