Job Title: Engineering Records Document Specialist

Job Description

This role is responsible for maintaining and improving the processes and procedures used to manage compliance documentation for a pipeline system in alignment with governmental regulations and established business practices. The Engineering Records Document Specialist verifies that all records meet applicable state and federal requirements, supports field locations with record keeping procedures, and ensures that documents are accurately captured, organized, and stored in the document management system. The position also provides research assistance by locating and supplying drawings and documentation for internal and external stakeholders, and by scanning and indexing records into systems such as FileNet.

Responsibilities

  • Maintain and administer processes and procedures for managing required compliance documentation for the company's pipeline system in accordance with governmental regulations and internal business practices.
  • Verify that all documents comply with applicable state and federal regulations governing business operations, including DOT and FERC requirements.
  • Assist field locations with record keeping procedures and provide guidance to ensure adherence to established document management standards.
  • Monitor and maintain established standards for the company's document management system to ensure consistency, accuracy, and regulatory compliance.
  • Provide research assistance by locating, retrieving, and supplying drawings and documentation as requested by internal and external stakeholders.
  • Scan, index, and upload drawings and documentation into the document management system, including FileNet and related capture tools.
  • Perform accurate data entry and maintain organized electronic and physical filing systems for engineering and compliance records.
  • Support document control activities related to oil and gas and pipeline projects, including natural gas facilities.
  • Use Microsoft Office and other software tools to prepare, update, and manage documentation and reports.
  • Work independently to prioritize tasks, manage workload, and meet deadlines while maintaining high levels of accuracy and attention to detail.
  • Collaborate with engineering, operations, and administrative teams to ensure that documentation needs are met and that records remain current and accessible.

Essential Skills

  • Minimum of 2+ years of document management experience.
  • Experience working with document management systems and document control processes.
  • Working knowledge of DOT compliance documentation related to the pipeline industry, including FERC and PHMSA requirements.
  • Ability to read drawings and understand documentation for natural gas facilities.
  • Experience working on oil and gas projects.
  • Proficiency with Microsoft Office applications.
  • Strong data entry skills with high accuracy and attention to detail.
  • Ability to work independently and manage tasks with minimal supervision.
  • Ability to work effectively with computers and standard office equipment.
  • Experience with filing, scanning, and record management in an administrative or engineering support environment.

Additional Skills & Qualifications

  • Experience using FileNet, Capture, and DataCap or similar document management and capture tools.
  • Background in engineering administration, document control, or administrative support within the oil and gas or pipeline industry.
  • Customer service skills to support internal and external requests for documentation.
  • Project coordination experience related to documentation, records, or compliance activities.
  • Strong clerical skills, including typing, organizing, and maintaining records.
  • Familiarity with document management best practices and standards.

Work Environment

This position is based in an office environment located in downtown Houston. The role involves extensive work with computers, document management systems, and standard office equipment, including scanners and filing systems. The schedule supports a long-term contract arrangement, with vacation accrual and holiday pay offered, and is suited to individuals who can work independently in a professional, desk-based setting.

Pay and Benefits

The pay range for this position is $20.00 - $23.00/hr.
