Summary

The Enrollment Coordinator position is responsible for assisting the Senior Director in recruiting students to the College of Health Professions & Medical Sciences. In addition,this position is responsible for all active recruiting efforts to convert inquiries to enrolled students. This position is also responsible for providing operational support by working with internal and external customers to build and strengthen the College of Health Professions & Medical Sciences programs’ awareness.

This is a full-time In-person position.

Essential Functions

Work toward and achieve the college/school/program’senrollmentgoals by participating in recruitmentactivities that include:

  • Providing information to prospective students regardingprograms,admissionrequirements, and documents.

  • Preparing presentationsforprospective and accepted student audiences, both small and large,asrequired.

  • Coordinating and participating in on-campuseventsfor prospects, acceptedstudents,andspecialinterest groups, as required.

  • Traveling where designated to represent the University and support recruiting efforts.  Thisincludes individual college/universityvisits,college fairs, conferences, and off-campus events.

  • Conducting variousmail, phone, and email recruiting campaigns to generate inquiries and applications and tracking communications using CRM system

  • Responding either by phone, email,and/ormail to allinquiries received and tracking using CRM platform

  • Conducting informationsessions and attending college fairs and otherevents.
  • Counseling prospective students toencourage campusvisits and applicationsubmission.
  • Managing campusvisits and scheduling of prospective students, including meetingswithfaculty.

  • Represent the Barry University brand andserve as a content expertforprospective students and othersfor the programsforwhich the Admissions Counselor is responsible.

  • Executing additional tactics that supportstrategies established by the deans and the Senior Director to attract,recruit, and enrollqualified students tothe program.

  • Assist in assessing results of prior recruitmenttravel and development of subsequentrecruitmenttravel using the CRM platform.

  • Facilitatetimely and appropriateinformationdelivery to move students throughthe variousstages from inquiry to applicantand support the conversion of applicants to accepted and enrolledstudents.

  • Determine prospective students’preferredmethod of communication,incorporating allmediatypes  to ensure the transmission of information is complete,succinct, and anticipatory in nature, and track using the CRM system

  • Create and conductfollow-upvia phone, email,live chat,web, and other methods of communication with prospects and applicants, and enter all data using CRM system

  • Explainadmissionsrequirementsforspecificprograms,such as standardizedtestrequirements,testwaivers,essays,formatforrecommendationletters,transcriptrequirements,scholarships, discounts, and resourcesavailable to assistprospective students withtheprocess.

  • Advise and guide the prospective student,asappropriate, throughout the applicationanddecision-making process, providing high-levelcoaching aswellas technical assistance throughout the relationship.

  • Promoteprospect/applicantengagementwithpeers,faculty, and staff including department liaisons andacademicadvisors

  • Assistwith the onboarding andregistrationprocess by instructing studentson the stepstowardadvising and registration, and explaining why holds/restrictions cannotbe overridden.

  • Develop and maintainexpertise indescribing the university’sfinancialaid opportunities and awarding policies and practices, and ensure the highest level of service and accuracy.

  • Documentallcontactwithapplicants in Salesforce, the university’scustomer relationship management (CRM) tool.

  • Report daily,weekly, and monthlyactivities utilizing CRM and SIS systems (Primary system Salesforce).

  • Conductregularassessments of interactions with prospective students and make recommendations forneeded updates of information to improve customer experience using CRM system

  • Maintain effective communicationswith the departments of Financial Aid, Records, andwiththe variousacademicprograms/schoolsasnecessary to facilitate their efforts in the applicationandconversionprocess.

  • Assistwith the onboarding andregistrationprocess by instructing studentson the stepstowardadvising and registration, andexplaining why holds/restrictions cannotbe overridden.

Facilitate daily business in conducting Recruitment and Enrollmentwork by:

  • Maintaining a professionalappearance atalltimes and conducting yourself in a professionalmannerwhile holding true to the core values of Barry University.

  • Demonstrating and possessing a strong understanding of cultural competency and how to communicate with different audiences.

  • Representing the University brand with the highest level of integrity.

  • Safeguarding the confidentiality of students, staff, and university information by exercising discretion inmanaging records and communication withfaculty,staff,alumni, and prospective students.

  • Making recommendationsforprocess improvements to improve workflow

  • Evaluating the readiness of the applicant’s file upon receipt of each new credential to be sent to the Program Director for review and decision using CRM system.

  • Collect, synthesize, and analyze data for the following purposes utilizing CRM system.

  • Prepare weekly/monthly reports on recruitmentactivities

  • Utilize data to provide a monthlyassessment of progress towardidentifiedobjectives and goals.

  • Providesupporttothe Senior Directorin the creation of the recruitmentstrategy and take responsibility forexecuting the plan of action.

Qualifications/Requirements

  • A bachelor's degree in any discipline is required.

  • 1-3 years of work-related experience required.

  • Must be able to handle issues with students, including receipt of documents and decision updates.

The position requires a willingness and flexibility to work long hours and weekends during peak recruitment season.

  • Non-traditional working hours, days, evenings, and weekends required.

  • Some local travel will be required.
