The Enrollment Services Specialist provides administrative and clerical support to the Offices of Enrollment Services. Responsibilities include but are not limited to updating and filing of records and documents; assisting with the processing of student payments, deposits, and refunds; assisting students with online registration; assisting students with inquiries at the Enrollment Services Office; updating, generating and distribution of reports; proofreading of documents; and processing requests for transcripts and other documents.
Supervision Received:
The incumbents in this position are supervised by the Director of Enrollment Services. Incumbents are required to follow and adhere to University and Office policy as established by the University.
Required Qualifications:
Principal Duties:
Conducts Graduation Audits for eligible students and supports the Director of Enrollment Services in Commencement Planning.
Responds to inquiries in person, by phone, and email; handles general office administration and filing of student/department records (electronic and paper).
Processes ID cards for students, faculty, and staff, and updates student information (address, demographic, immigration, medical, etc.) in Colleague and other systems.
Assists students with Web Advisor/Student Planning, online registration, and issues related to their academic program, escalating unresolved matters as needed.
Supports Enrollment Services' financial operations, including student billing, payments, refunds, and deposit processing during staff holidays.
Manages document requests (transcripts, enrollment confirmations, graduation verifications) and updates transfer credit requests in the BCCAT database.
Reviews Payment Deferment Plan requests and assists students missing transfer credits during admissions.
Updates degree requirements in the Student Planning system, organizes student training sessions, and monitors academic plans.
Updates information in the Robinson Student Information System and processes reports.
Performs additional duties as assigned.

May participate in the training of new Enrollment Services employees.
Standards:
Knowledgeable of Enrollment Services policies, particularly registration and database maintenance.
Strong communication skills and judgment when interacting with faculty, students, and staff.
Able to work independently, manage multiple projects, and make decisions with discretion.
Proficient in maintaining databases, drafting letters, handling complex calculations, and managing large sums of money per university procedures.
Skilled in working with spreadsheets, organizing tasks, setting priorities, and managing time efficiently.
Able to follow through on responsibilities and collaborate effectively with coworkers.
Minimum Qualifications:
High School diploma or GED required.
At least 2 years of administrative experience in a fast-paced setting, ideally in academia, with budget management and basic accounting skills.
Proficient in data management, Microsoft Office, and able to learn new applications quickly (Ellucian Colleague experience is a plus).
Familiarity with college environments, either as a student or employee.
Detail-oriented with strong organizational and communication skills.
Must be available for overtime and non-standard hours (evenings, weekends).
Canadian residency or work permit required, with background check upon hire.
