Position Summary:

The Enrollment Support Program Assistant is an entry-level generalist position within Enrollment Management Operations at EIU, with a primary and clearly defined focus on undergraduate Orientation programming for first-year and transfer students. The position serves as the primary support staff member for the Assistant Director of Enrollment Support ndash; Orientation Programming and supports Orientation preparation and planning and attends all Orientation programs. The position is charged with supporting superior event execution, drafting engaging and clear Orientation communications, and maintaining the exceptional customer service expectations of graduate assistants and student staff members. Outside of Orientation-based duties, the position also contributes to communication planning, CRM maintenance and data cleaning, contributions to survey and data analysis, and valuable project-based work at the direction of the Director of Enrollment Support and the Vice-President for Enrollment Management. The position works closely with colleagues across the Enrollment Management Operations team. The role calls for an outstanding work ethic, a strong customer service skillset, an appreciation for the role of data in decision-making, and the ability to multi-task and manage multiple projects simultaneously, along with close attention to detail and steady composure under the pressure of firm deadlines and live events. In all aspects of this work, the position fosters a welcoming and inclusive experience for every new student, their guests, and all Orientation staff members.

Essential Duties and Responsibilities:

  • Serve as the primary support staff member for the Assistant Director of Enrollment Support ndash; Orientation Programming in the planning and execution of all undergraduate Orientation programs.
  • Attend all Orientation programs and provide hands-on support for event logistics, day-of operations, and problem solving.
  • Support Orientation preparation and planning throughout the annual Orientation cycle, and coordinate Orientation supplies and materials in support of the overall readiness of each program.
  • Serve as the purchasing card holder for Enrollment Management Operations, manage procurement processes and inventory, and provide budget support.
  • Provide mentorship and day-to-day guidance to student staff and graduate assistants, serve on the Orientation Task Force, and support coordination responsibilities such as Transfer Advising scheduling.
  • Positively represent the University with prospective and admitted students during Admissions and Orientation events.
  • Lead day-to-day Orientation communications and outreach to incoming students.
  • Craft and deliver Orientation-related communications, maintain content for the Orientation website, and manage the office email inbox in a timely, service-oriented manner.
  • Conduct direct outreach to new students and their supporters through email, SMS/text messaging, and calling-based campaigns that encourage reservation completion, attendance, and enrollment follow-through.
  • Contribute significantly to the development and execution of enrollment communication plans beyond Orientation, with a focus on campaigns that support recruitment and retention efforts.
  • Draft messages, build and schedule campaigns across email, SMS/text messaging, and calling-based outreach, and maintain communication templates and calendars with guidance from other members of the Enrollment Management Operations team.
  • Maintain the accuracy and integrity of Orientation and enrollment records in the University CRM through ongoing data cleaning, record maintenance, and list management.
  • Contribute to survey analysis and reporting for Orientation and other Enrollment Management initiatives by compiling participation and enrollment data.
  • Assist in preparing summaries used for program improvement, process optimization, and retention analysis.
  • Complete project-based work at the direction of the Director of Enrollment Support and the Vice-President for Enrollment Management. nbsp;
  • Contribute to various Strategic Enrollment Plan items that support recruitment, retention, and other critical enrollment-based operations across the University, including serving on relevant recruitment and retention committees.
  • Provide staffing support for Welcome Weekend events at the direction of the Office of Leadership amp; Engagement, and perform other Enrollment Management support duties as assigned, including short-term project assistance, meeting preparation, and administrative follow-up that supports the continuity of enrollment operations.
  • Contributes to the success of EIU by performing other duties and assisting with projects, as assigned.

Minimum Qualifications:

  • A Bachelor rsquo;s degree required
  • Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.

Additional education, training and/or work experience in the area of specialization:

  • Experience supporting events or large-scale programs, which may include professional experience, internships, student employment, or student leadership roles

Preferred Qualifications:

  • Experience providing strategic leadership or high-level oversight in event planning, communications, or customer service
  • Knowledge of customer relationship management (CRM) systems, student information systems, or event registration and management platforms
  • Experience with survey and data analysis, including spreadsheet software and survey platforms
  • Experience contributing to yield, retention, or melt-reduction efforts is beneficial
  • Course studies in Management, Marketing, Social Sciences, Communications / Public Relations, English, or Education

Work Hours:

The core work hours of this position are Monday through Friday 8:00 a.m.- 4:30 p.m. nbsp;

Starting Salary/Pay Rate Range: nbsp;

Current starting pay rate for this position is $20.51 - $23.07
