Equipment Manager – Roles and Responsibilities




The equipment Manager is responsible for overseeing the planning, assignment, tracking, and maintenance of all construction equipment on the project. The role ensures equipment is available when needed, properly maintained, correctly charged to the project and efficiently transitioned between rental and off-rental status.


Core Responsibilities



 Manage all project equipment requests from construction teams and evaluate the need for rental, transfer or owned equipment.

 Coordinate with Purchasing or contracts to process rental requests, rental extensions, purchase orders, vendor communications and off-rental action.

 Track all equipment onsite, including current location, assigned crew, operating status and movement between work areas.

 Schedule preventative maintenance, inspections, repairs and service calls to minimize downtime and keep equipment in safe working condition.

 Verify equipment utilization daily to identify underused assets and reduce unnecessary rental costs.

 Maintain accurate equipment logs, including rental start/end dates, service history, inspection records, damage reports and utilization data.

 Work closely with area supervision, warehouse, logistics and project management to support changing construction demands.

 Ensure equipment is compliant with safety requirements, manufacturer recommendations and project standards.

 Investigate equipment issues, coordinate troubleshooting and follow through until equipment is returned to service.

 Support cost control by monitoring rental charges, ensuring timely off-rental processing, and preventing duplicate or idle rentals.


On-Rental to Off Rental Process



 Review construction requests for equipment and confirm the correct equipment type, size and rental duration.

 Submit rental requests through purchasing and track approval status.

 Monitor usage daily to determine when equipment is no longer needed or can be reduced.

 Communicate with field supervision before off-renting equipment to confirm no active need remains.

 Coordinate the formal off-rental request with purchasing and the rental vendor.

 Record the off-rental date, pick-up status and required return conditions.

 Verify the equipment is cleaned, inspected and ready for return when required.


Maintenance and Location Control



 Maintain a site-wide equipment tracker showing equipment serial number, description, location, status and responsible supervisor’s name and work area.

 Conduct or coordinate routine inspections to confirm equipment condition and identify maintenance needs early.

 Schedule maintenance around project activity to avoid disrupting critical work.

 Track equipment movement across the site so assets can be located quickly when needed.

 Follow up on breakdowns, service calls and repairs until equipment is returned to operational status.

 Maintain communication with operators and supervisors so equipment is not misplaced. Idle or duplicated across work fronts.
