JOB TITLE: Equipment & Supply Specialist
 


I. SUMMARY

The primary purpose and responsibilities of this position are the following:

The Equipment & Supply Specialist position is responsible for greeting and assisting customers when they telephone and/or enter the warehouse store. This position provides friendly, helpful, knowledgeable, and trusted advice and assistance in helping customers select required/needed products; efficiently finalizes payment, sales tax, and delivery requirements; and helps resolve shipment tracking, product warranty, and return needs.

Follows up on the status of open customer quotes, orders, backorders, vendor special orders, shipment tracing, customer call-backs, and overdue account balances through to final resolution.

Ensures product displays remain neat, clean, and well presented in the assigned areas. This includes ensuring price signs and tags for displays and individual items are accurate and prominently displayed, and that quarterly price changes are promptly and accurately executed.

Remains aware of new products added to the store and changes within the company’s quarterly sales flyer. Studies product specification sheets and understands practical differences in the products carried. Attends manufacturer/representative training sessions and asks questions to maintain and increase knowledge of store merchandise and items available for special order.

Keeps warehouse store management aware of problems and opportunities and obtains assistance when needed.


II. ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serves customers at the counter, on the sales floor, and over the phone.

  • Follows up and resolves open customer quotes, orders, order tracking, vendor special orders, etc.

  • Performs store product and inventory care.

  • Expands personal product knowledge.

  • Provides friendly, courteous, sincere, helpful, knowledgeable, and efficient customer service.

  • Greets customers promptly and helpfully guides them to desired in-store products.

  • Demonstrates interest in building trusted, long-term customer relationships.

  • Understands and addresses customers’ operational, volume, and economic needs.

  • Explains product features, benefits, and warranty protections.

  • Suggests cost-saving alternatives and related accessories.

  • Coordinates back orders, substitutions, and special orders when inventory is unavailable.

  • Accurately processes orders, payments, taxes, and shipping details.

  • Tracks and follows up on open customer items and resolves delays.

  • Documents all follow-up actions and communications.

  • Maintains cleanliness and organization of assigned store display areas.

  • Performs quarterly price audits as assigned.

SUPERVISORY/MANAGERIAL RESPONSIBILITIES

  • This position does not have supervisory responsibilities.


MAJOR INTERNAL CONTACTS

  • Daily interaction with store managers, specialists, warehouse associates, and inventory teams.

  • Weekly interaction with merchandise and replenishment staff and buyers.


MAJOR EXTERNAL CONTACTS

  • Daily interaction with customers.

  • Periodic interaction with manufacturer representatives and freight carriers.


VII. EDUCATION AND EXPERIENCE REQUIREMENTS

  • Required: High school diploma or GED.

  • Preferred: Associate's degree from a two-year college or technical school.

  • Preferred: 6 months of experience in food service operations or equipment sales.

  • Required: 1 year of computer usage, including email, internet, and software use.

  • Language skills in Mandarin Chinese or Spanish are a plus.


VIII. SKILL REQUIREMENTS

  • Strong interpersonal and customer service skills.

  • Working knowledge of food service operations and related products.

  • Ability to read and interpret technical documents.

  • Computer and internet research proficiency.

  • Math skills for calculating discounts, percentages, and measurements.

  • Effective verbal and written communication.

  • Problem-solving abilities.

  • Strong time management and prioritization skills.


IX. CERTIFICATES, LICENSES, REGISTRATIONS

  • None required.


X. PHYSICAL REQUIREMENTS

  • Frequent keyboard use, telephone communication, and in-person customer interaction.

  • Extended standing and walking.

  • Occasional stair climbing, ladder use, stooping, and lifting up to 50 pounds.


XI. WORKING CONDITIONS

  • Standard office environment.

  • Mostly indoor work with occasional exposure to outdoor conditions.

  • Moderate noise level typical of an office and retail setting.
