The Escrow Assistant provides administrative and clerical support to Escrow Officers throughout the title and settlement process, helping files move smoothly from opening through closing. This role requires strong organizational skills, attention to detail, and excellent customer service in a fast-paced environment.
• Open new escrow files and enter information into the title production system.
• Order and review preliminary title searches, surveys, and payoff statements.
• Prepare and distribute closing packages, including title commitments and required disclosures.
• Communicate with lenders, real estate agents, and clients to collect outstanding documentation.
• Schedule closing appointments and coordinate calendars for Escrow Officers.
• Assist with balancing Closing Disclosures and resolving minor discrepancies.
• Process earnest money deposits and prepare receipts.
• Track and follow up on outstanding conditions prior to closing.
• Prepare documents for recording and confirm recording with the appropriate county.
• Maintain organized, accurate physical and electronic escrow files.
• Provide general administrative support to the escrow team.
• High school diploma required; some college coursework preferred.
• Prior office, administrative, or customer service experience preferred.
• Notary Public certification preferred, or willingness to obtain.
• Strong organizational, communication, and customer service skills.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Proficiency with computers, Microsoft Office, and willingness to learn internal systems.
• High attention to detail and commitment to confidentiality.
• Ability to work well independently and as part of a team.
• Prior experience in a title, escrow, or real estate office.
• Familiarity with closing/title software systems.
• Notary Public certification.
