Job Summary:

The Event Coordinator, Alumni Relations is responsible for supporting event logistics and office operations by coordinating administrative affairs and programs for the office of Alumni Relations. This is a temporary, part-time position (10-20 hours/week).

Duties & Essential Job Functions:

  1. Plans and executes diverse alumni events, programs, and engagement opportunities nationwide to foster connection, particularly focused on life-stage and interest-based programming.

  2. Organizes events by securing speakers, choosing menus or purchasing food, reserving facilities, ordering decorations, preparing agendas and programs, taking minutes.

  3. Provides frontline constituent support in alumni relations, providing high-touch service through phone, email, and in-person greetings. Responsibilities include managing inquiries, supporting event registration, updating database records, resolving issues, and assisting with volunteer coordination

  4. Assists Alumni Relations staff by maintaining accurate registration counts for events, accepting registrations over the phone, and entering registration for those attendees who were walkups at the event and by running reports as needed.

  5. Maintains event supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

  6. Researches, verifies, and reconciles constituent identification numbers between TCU's CRM and event management platform to ensure accurate alumni records, event registration data, and reporting integrity.

  7. Assists with testing, event creation and processing registration related to event functionality in BBIS and other event management platforms.

  8. Performs other related duties as assigned.

Required Education & Experience:

  • Associate's degree and 3 years' administrative experience, including supervisory experience.

OR

  • High school diploma or GED and 5 years' related experience.

Preferred Education & Experience:

  • Bachelor's degree.

Knowledge, Skills & Abilities:

  • Knowledge of basic accounting processes.
  • Knowledge of specific job-related programs.
  • Knowledge of customer service techniques.
  • Knowledge of department specific computer software.
  • Knowledge of Microsoft Windows navigations.
  • Skill in some or all components of Microsoft Office.
  • Skill in basic keyboarding techniques.
  • Skill in basic record keeping techniques.
  • Ability to clearly communicate information.
  • Ability to draft grammatically correct correspondence.
  • Ability to manage multiple projects and meet deadlines.
  • Ability to assume administrative tasks and make independent decisions regarding daily activities.

Physical Requirements (With or Without Accommodations):

  • Visual acuity to read information from computer screens, forms and other printed materials and information.
  • Able to speak (enunciate) clearly in conversation and general communication.
