About This Role: The Events Coordinator is responsible for hosting and coordinating events for Visit Fort Collins. This role involves planning, organizing, and executing event details to ensure guests have an exceptional experience. Cross-trained with the Welcome Center Manager, this position also supports the day-to-day operations of the Fort Collins Welcome Center and its overall mission. This position requires a flexible, highly variable schedule—including days, nights, weekends, and holidays—often exceeding 40 hours per week.

Compensation:
$20-25/hr

Essential Duties & Responsibilities:
Event Planning, Logistics & Execution:
  • Plan, coordinate, and execute all event aspects in collaboration with the Welcome Center Manager, vendors, and suppliers, adhering to event guidelines and responding professionally to community requests.
  • Manage full event logistics: equipment setup, A/V, room layouts, signage, catering, and teardown, ensuring smooth transitions and timeline adherence.
  • Develop and maintain comprehensive working knowledge of all Welcome Center A/V systems, technology platforms, and event support tools.
  • Provide run of show and event details to staff; document all events on the shared calendar and in the shared folder in a timely manner.
  • Direct event flow by supporting speakers, managing timing, troubleshooting issues in real time, and delivering hospitality-driven service.
  • Serve as main point of contact for attendees; lead and direct Concierge and Event staff during events.
  • Ensure compliance with safety standards, accessibility requirements, and organizational policies.
  • Conduct post-event evaluations, gather feedback, and prepare reports for the Welcome Center Manager and VP of Marketing.
Administrative Management:
  • Support the Welcome Center Manager in daily operations; fully cross-trained to advance the overall Welcome Center mission.
  • Monitor administrative budgets, operational purchasing, and adherence to financial policies.
  • Operate the company van for transporting guests and community partners
  • Assist with other duties as assigned

Essential Education and Experience:
  • Bachelor’s degree in Hospitality, Meeting, Event Planning or related field preferred
  • 1-3 years of experience in hospitality or event industry is preferred.
  • Specialized Customer service training ​is preferred.

  • Excellent communication (verbal and written), interpersonal, and customer service skills with a calm, courteous, and helpful manner.
  • Strong organizational and time management skills with meticulous attention to detail and a proven ability to meet deadlines and prioritize effectively.
  • Creative problem-solver with the ability to delegate tasks when appropriate.
  • Thorough understanding of legal regulations and permits required for events.
  • Proficient with Microsoft Office Suite or related software.
