Job Title: Event Coordinator
Department: Recreation & Events
Hours: Up to 16 hours per week (Part-time)
Primarily evenings and weekends (Friday–Sunday), based on event schedule (flexible hours)
Pay: $21-$22 per hour
Position Summary
The Event Coordinator supports the Recreation and Event Manager with the preparation and execution of community events and club-related activities.
This is a hands-on, fast-paced role that requires flexibility, organization, and the ability to assist with both logistical and creative aspects of events. The position plays an important role in ensuring events are well-organized, visually appealing, and run smoothly.
Key Responsibilities
Event Support
- Assist with event setup, décor, and overall presentation
- Support real-time event execution, including adjustments and problem-solving as needed
- Help maintain organization and flow during events
Logistics & Operations
- Assist with transporting supplies and materials (including loading/unloading items as needed)
- Help organize event materials before and after events
- Support deliveries, vendor communication, and general event preparation
Creative & Planning Support
- Assist with event themes, décor ideas, and visual details
- Help with selecting materials such as linens, décor items, and setup elements
- Support planning decisions with a practical and detail-oriented approach
Marketing Support
- Assist with creating flyers, signage, and event materials
- Support social media posts (Instagram, etc.)
- Help maintain consistent and timely event promotion
Qualifications
- Minimum six (6) months experience assisting with events, hospitality, or similar environments
- Must have a minimum of one-year experience of social media and simple design tools (Canva, Instagram, etc.)
- Basic knowledge of Microsoft Office programs including Word, Excel and Outlook
- Ability to anticipate needs and stay one step ahead during events
- Strong organizational skills and attention to detail
- Ability to work in a fast-paced, changing environment
- Reliable and able to follow direction while also taking initiative
- Comfortable with hands-on, physical tasks (lifting, moving items, setup support)
- Good communication and teamwork skills
- Availability on evenings and weekends
- Must have a valid California driver’s license and clean DMV record.
Physical Requirements
- Ability to lift and carry event materials and supplies
- Frequent standing, walking, bending, and moving during event setup and execution
Work Environment
- Primarily on-site at the clubhouse and event spaces
- Indoor and outdoor event environments
- Fast-paced during events, especially during peak seasons (holidays, summer events)
- Ability to work on Major Holidays: Memorial Day, Independence Day, and Labor Day (required)
