Major/Essential Functions

50% Dean’s Office Event Planning
  • Serve as lead coordinator for all Dean’s Office events. Proactively identify opportunities to improve college event experiences, streamline processes, and strengthen stakeholder relationships.
  • Consult with college leadership to determine objectives, requirements, and logistics. Manage venue reservations, setup, and preparation as needed.
  • Coordinate and execute local and regional college-level events, including invitation lists, RSVPs, attendee tracking, and on- and off-campus venue logistics.
  • Coordinate catering arrangements for executive leadership faculty meetings and similar gatherings on a request basis.
  • Maintain a college master calendar of events. Assist with coordinating official requests for the Dean to be present or speak at events in partnership with the Executive Associate.
  • Assist with event approval processes and paperwork. Support event funding requests and maintain expenditure detail, invoices, and vendor information for college events.
  • Manage the college’s internal checkout system for in-house event décor inventory.
  • Participate in campus-wide community building, collaborations, and co-branded events as appropriate, including serving on committees to build internal and external relationships on campus and in the community.
30% Department Event Support
  • Coordinate the college’s involvement and potential co-sponsorship in departmental events on a per-request basis, supporting the approval process and coordinating with the Senior Director of Financial and Administrative Services as needed to secure funding and Dean’s approval.
  • Serve as a resource for department-led events, offering consultation meetings to departments. Provide collaborative planning support and recommendations on event logistics, vendors, programming, and college resources.
10% Event Sponsorships
  • Identify and secure financial and in-kind sponsorships from corporate and community partners to expand college-level event programming.
  • Partner with departments seeking event sponsorships, providing guidance on the solicitation process, executing approved sponsorships, and ensuring proper paperwork and approvals are in place.
  • Identify and recommend student organization or community sponsorship opportunities for Dean review and approval, while executing all Dean-selected sponsorships, including college branding/logos, attendee coordination, proper paperwork (food forms, PCard), and annual tracking on the O Drive.
  • Ensure all sponsorships are properly stewarded before and after events, in coordination with departments and/or the Assistant Director of External Relations.
10% Other
  • Collaborate with the broader Marketing & External Relations team to ensure event marketing materials and swag designs are requested and shared through the appropriate channels. Maintain college brand consistency across event materials and special recognition items.
  • Coordinate orders for event marketing collateral, swag, printed pieces, event décor, and other required purchases, ensuring proper university and college branding.
  • Coordinate and serve as the main contact for the State Employee Charitable Campaign for the College of Health & Human Sciences. Manage and execute digital or printed materials to meet the annual fundraising goal.
  • Attend college/campus meetings as appropriate.
  • Some travel, evenings, or weekend availability as needed.
