Event Coordinator

ATR International is hiring an Event Coordinator for a major client!

As our Client continues to expand its global presence and accelerate its focus on AI-driven markets, the complexity and strategic importance of events have grown significantly. The Event Coordinator will strengthen the team's operational capacity, streamline execution, and enable senior team members to focus on strategic planning, innovation, and executive engagement. The Specialist plays an essential role on Global Trade Shows team, supporting the planning and execution of high-profile industry trade shows.

• Manage registration processes, attendee communications, and hotel and rooming lists
• Coordinate vendors and suppliers for collateral, signage, apparel, and demo materials
• Oversee shipping and logistics for booths, demo equipment, and on-site materials
• Provide onsite support including registration, badge scanning, catering coordination, and transportation; assist with booth setup and teardown, supply organization, and real-time troubleshooting
• Ensure seamless onsite execution through clear communication and proactive problem-solving
• Coordinate catering, restaurant reservations, and event communications
• Support internal communication needs, budget tracking, and asset management
• Assist in developing event collateral, presentations, and recaps to share outcomes and successes across the business
• Maintain event analytics, attendance metrics, and engagement dashboards
• Support post-event ROI analysis, feedback collection, and insight reporting to guide future strategy
• Manage post-event organization including inventory tracking, shipment returns, and supply restocking

Requirements:

• 1–3 years of experience in event planning, trade shows, or marketing operations.
• Exceptional organizational and project management skills
• Ability to multitask and perform under pressure in a fast-paced environment
• Collaborative mindset with a proactive, solutions-oriented approach
• Excellent Communication Skills, Written and Verbal
• Ability to stand for long periods of time and lift up to 50 lbs

Location: Santa Clara, CA - Fully Onsite

Hourly Rate Range : $36.00 - $43.00

Full-time employees (working an average of 30 hours or more) are eligible to select from different benefits packages. Compensation

Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education, and experience, as well as the benefits package you select.
