Minimum Qualifications:

Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field including two (2) years managerial experience; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

Job Profile Summary:
Responsible for developing and implementing strategic plans for the arts programming function, managing art program budgets and collaborating with internal stakeholders to ensure that art programs are aligned with the institution's overall goals and objectives.

Job Description:

Position Salary Range:

$55,000 to $60,000 per year; DOE

This position manages the non-athletic daily rental operations for ASU 365 Community union which is located in Mountain America Stadium. This position includes but not limited to planning, organizing, executing and staffing events accounting to contract agreements. Clients range from ASU departments, student groups and private community and/or professional organizations. This position requires a flexible work schedule in order to coordinate, supervise and work events. This position reports to the Director of 365 Community Union. This is a full time position that also works nights and/or weekends as needed.

Essential Duties:

  • Coordinate event logistics by insuring proper estimating, ordering, arranging, placing, set-up and strike. These items include but not limited to food safety, medical and security coverage, permitting, parking direction and barricades, blue-staking, turnstiles, fencing, signage, light towers, tenting, chairs, tables and other event needs and requirements.

  • Lead and develop two full-time Event Coordinators, including recruitment, training, and ongoing performance management, while supporting their part-time teams. Step in as needed to manage workloads, participate in planning meetings and site walkthroughs, and ensure seamless event-day operations.

  • May schedule facility and services for use by department, campus entities and outside organizations; prepare estimates that enhance and clarify terms of contract in a timely fashion.

  • Manage event approval process, in collaboration with Sun Devil Athletics, and collaborate with Calendar Coordinator for internal and external clients.  

  • Coordinate with department, user and/or renter to determine event needs and explain requirements needed for events; determine resources available such as equipment or labor and compares with event needs and requirements; coordinate additional resources needed such as vendor services and equipment rental.

  • Serve as facility representative during events by responding to users and patrons and resolving emergency situations and/or patron problems such as medical emergencies or security incidents; ensure all aspects of events are implemented and controlled according to plans.

  • Observe the activities of users, event service personnel, vendors and staff.

  • Determine and coordinate physical maintenance of facility as required for 365CU events.

  • Provide assistance and information to faculty, staff and outside organizations regarding facility use and capabilities with their appropriate rules and policies. Maintain contact with ASU departments, patrons and/or clients. 

  • Perform functions related to specific facility and events assigned, such as tracking event attendance, completing and sending event reports. 

  • Establish and continually manage project expectations with team; assign tasks and identify issues for resolution to ensure optimal team effectiveness.

  • Contribute to the Continuing Operations Plan and Sustainability Plan for facility. 

  • Submit all receipts in a timely manner for monthly purchasing card reconciliation. 

  • Develop a personal code of conduct to help ensure our work environment is welcoming, equitable and supports our department mission and core values along with the ASU Charter. Hold staff accountable to their own code and support them with development. 

  • Assist with event-related errands as needed, utilizing department vehicles including van, truck, or electric golf cart.

  • Coordinate special projects as assigned.

  • Organizing work of self and others and handling multiple tasks simultaneously

  • Proofread documents and verify facts. 

  • Respond quickly in an emergency situation. 

  • Regular activities include changing priorities in the moment, which may include resolution of conflicts.

  • Develop and facilitate event logistics, scheduling and communication with participants.

Desired Qualifications:

  • Understanding of project management principles, methods and techniques. 

  • Previous experience with event security and logistics as well as developing complex site plans for events.

  • Knowledge of audio and visual coordination and planning.

  • Ability to communicate effectively across various audiences in different mediums. 

  • Skill in establishing and maintaining effective working relationships.

  • Ability to manage multiple projects and thrive in a fast paced environment.

  • Acute attention to detail and verification of facts. 

  • Ability to drive on university business and possess a valid US driver license upon employment. 

Working Environment:

  • Travel to off-campus facilities to coordinate and participate in program events.

  • Use of computer.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 lbs. 

  • Run errands, which may require driving a 7-passenger van and/or electric golf cart.

  • Drive on university business and possess a valid US driver license upon employment.
