Job Description We are seeking a Niche Support Personnel - Event Planner Intermediate to join our dynamic team. The ideal candidate will have strong experience in hospitality operations, client center management, and end-to-end event planning and a proven ability to deliver executive-level meetings and events with precise logistics, stakeholder collaboration, and high service standards. Responsibilities: Collaborate with senior and middle management to scope, design, and deliver events that meet business objectives. Provide strategic input on event concepts, formats, and client engagement. Partner with internal teams, including Food Services, Conference Services, Audio Visual, Security, and Facilities. Manage all event phases: consulting, proposals, RFP site selection, vendor negotiation, and contract administration including attrition and cancellation risk control. Oversee logistics: hotel blocks, air and ground travel, menus, room sets, decor, audiovisual, registration, speakers, entertainment, activities, giveaways, and travel staff. Craft invitations and provide input on graphic design, web pages, and printed materials. Assist with daily Client Center operations with a focus on guest service and issue resolution. Co-manage EMS reservation software and execute daily meetings and events. Inspect spaces daily, submit and track facility requests, and communicate setups to stakeholders. Maintain cleanliness, organization, and inventory across event rooms and pantries; manage beverage service and catering needs. Apply food preparation, health, and safety standards and best practices. Gather guest feedback, report insights, and recommend improvements. Handle administrative tasks: invoice processing, vendor maintenance scheduling, and ordering kitchen, banquet, and office supplies. Manage Client Center reservation books, reporting, and metrics. Implement and refine Client Center protocols, including meet-and-greet, security procedures, catering setup, and client management. Liaise with catering partners and applicable back-of-house staff. Work flexible hours, including early mornings or late evenings as needed. Required Skills & Qualifications: Bachelor's degree preferred. 2-3 years of hospitality and/or administrative experience; event planning, catering, membership club, or hotel experience preferred. Proficiency with EMS or comparable event management systems. Strong time management with the ability to meet deadlines and manage concurrent events. Excellent written and verbal communication skills with executive presence. Proficiency in Microsoft Excel, PowerPoint, and Word. Preferred Skills: Experience with corporate client centers or financial services environments. Vendor sourcing, RFP management, and contract negotiation for hotels and venues. Why BCforward?
