Description

Summary:

We are seeking a full-time Event Planner to support the Department of the Air Force. Flatter, Inc. provides leadership development for the Department of the Air Force (AF) Total Force General Officers (GO), Civilian Senior Executives (CSE), Colonels (Col), Chief Master Sergeants (CMSgt) and General Schedule (GS) 15s or equivalent civilians.

Duties & Responsibilities
  • Manage the planning and execution for a variety of custom-designed courses, meetings, and course-related events.
  • Provide comprehensive pre-event planning and support, including site selection, budget forecasting and tracking, vendor coordination and negotiation, attendee and speaker registration, course information webpage development, speaker scheduling and coordination, preparation of course materials and handouts, lodging coordination, and other logistical planning efforts.
  • Coordinate on-site operations by organizing staff, subcontractors, speakers, attendees, and vendor personnel to ensure efficient execution of all event activities. Provide on-site support for logistics, audio-visual setup and execution, lodging coordination, registration, speaker and attendee assistance, and course close and departure processes.
  • Support efforts to identify, evaluate, negotiate and acquire meeting and event venues, along with supporting resources for senior leader events and/or courses in federal, private or public facilities.
  • Coordinate and advise speakers and attendees on government travel orders, travel requests, travel approval, and travel guidelines and policies.
  • Provide course wrap-up support to include invoice tracking, reconciliation and payment, speaker thank you letters, survey collection and reporting, and final course closeout activities.
  • Assist in facilitating weekly review and preparation meetings with customer and senior DAF leaders on course agendas, attendees, planning progress status, and any challenges that may arise during course execution.
  • Provide speaker introductions and assists in course facilitation as needed.
  • Work closely with all facets of the planning team to ensure total customer satisfaction.
  • Develop action plans to complete projects that improve services and customer satisfaction.
  • Build and maintain positive working relationships with Department of the Air Force clients, staff, other military service POCs, and learning institution staff members.
  • As required, support the facilitation of Force Development Panels to include facilitating administrative support, slide and agenda development, protocol support, event execution, after action support, panel advisor support (as requested), and printed materials.
  • Performs other related duties as required and assigned.
Travel Required

This position requires work to be performed in multiple locations to include teleworking, Fredericksburg, VA, the Pentagon (Arlington, VA) and Washington, DC areas. Additionally travel to various course/event locations and on-site accommodation will be expected. Some limited CONUS travel may be required in support of Force Development Panels.

Must reside in the DC Metro area or have the ability to commute/relocate or plan to relocate before starting work (Required). Reliable transportation needed.

Required Education/Experience
  • Associate (Required)
  • 1-3 years education and or event planning experience.
  • Events management: 2 years (Required)
  • Customer service: 2 years (Required)
  • Communication skills: 2 years (Required)
  • Logistics: 2 years (Preferred)
  • Budgeting: 2 years (Preferred)
  • Event planning: 1 year (Required)
  • Knowledge of Microsoft Office Suite.
  • Knowledge of military protocol/rank structure is desirable
