The Event Coordinator will support the planning, coordination, and execution of in-person events and marketing activities. This position will be responsible for managing event logistics, coordinating with vendors and internal teams, supporting registration, tracking expenses, arranging shipping, and maintaining event documentation.
The ideal candidate should be highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. The individual should be comfortable working independently and ensuring events are completed on time and according to requirements.
Job Responsibilities
Coordinate the planning and execution of in-person events, conferences, meetings, and marketing activities.
Assist with venue sourcing, catering arrangements, event registration, and onsite requirements.
Coordinate with conference organizers, external vendors, and internal teams.
Track event schedules, deadlines, requirements, and deliverables.
Ensure vendors and stakeholders provide required services on time.
Support event registration and attendee-related activities.
Coordinate shipping and delivery of event materials, supplies, and equipment.
Assist with event-related marketing support requests.
Track and process event-related expenses and maintain accurate records.
Maintain event documents, spreadsheets, tracking tools, and reports.
Assist with resolving logistical issues before and during events.
Communicate event updates and requirements to appropriate team members.
Support onsite event setup and coordination when required.
Manage multiple events and priorities while meeting deadlines.
Maintain organized records of event activities, vendors, costs, and other important information.
Provide general administrative and marketing support related to events.
Follow up with vendors and internal teams to ensure all required tasks are completed.
Support post-event documentation and reporting as needed.

Qualifications
2+ years of experience in event planning, event coordination, or marketing required.
Approximately 3–5 years of relevant experience preferred.Strong organizational and time-management skills.

Excellent written and verbal communication skills.Ability to work independently as well as with a team.Proactive and solution-oriented approach to work.
