Job Requirements:

Bachelor's degree in Event Planning or related field, three (3) to five (5) years of arts administration, cultural arts, or event

planning required, or equivalent combination of education and experience. Management experience required. Incumbent

should possess high-quality verbal and written communication ability, strong customer service and interpersonal skills,

and demonstrate creativity in planning and execution. Must be proficient in the operation of computer applications such

as Microsoft Office. Background in food service is a plus. Experience working with seniors is preferred. All employees are

Job Summary:

The Events Manager supports the planning, coordination, and execution of community-wide programs, trips, and special

events. This role partners with staff, residents, and committees to deliver inclusive and engaging experiences across

multiple levels of care. Responsibilities include managing logistics such as catering, setup, parking, and room reservations

for events. The manager ensures all communications and calendars are accurate and aligned with wellness dimensions.

This position contributes to the overall community brand through collaboration with Marketing and Cultural Arts.

Regular interaction with internal stakeholders ensures events meet quality and accessibility standards. The events

manager also upholds professionalism, safety, and ongoing development.

Key Responsibilities:

Events Coordination and Management

Assists in the implementation of innovative programming and events in conjunction with residents and staff and Events Manager.

  • Assists the Events Manager in planning events for stakeholders including Westminster at Ingleside Foundation Board of Directors.
  • Attends routine program planning meetings with members of the Dining, Life Enrichment, Spiritual Life and Resident Services team. Helps coordinate and execute large-scale community programming. Special attention to holidays, themes

and national days/weeks/months.

  • Partners with Life Enrichment Manager, residents and Accessibility Committee to ensure events are accessible to multiple levels of care.
  • Coordinates event logistics and services, including technology and equipment needed to run the event, food, drinks, etc., to including training department on the use of all equipment.
  • Contracts community decor for holidays and events as needed (Christmas, Mothers Day, ED Reception, etc.)
  • May assist with booking of private events within the community, responsible for overall coordination including catering, servers, housekeeping, ambience and special requests.
  • Coordinates onsite campus parking for large community events with appropriate colleagues.
  • Oversees event spaces including Club Room, Formal Dining Room, Private Dining Room, Game Room/Card Room, and Cultural Arts Center. Ensure rooms are "show ready" when not in use.
  • Maintains and monitors the Room Reservation calendars for the community, reserves spaces for planned community events, and assists with room reservations for persons served.
  • Routinely plans and executes Happy Hour events and creative culinary experiences (tastings, food truck, chef demonstrations)
  • Works closely with Cultural Arts Managers to keep the residents' website, program advertisements and marketing

materials up to date and attractive with event information.

  • Responsible for cross-checking all forms of communication media on an ongoing basis to ensure accuracy, timeliness,

and uniform appearance of information being distributed to all persons served to included creating and maintaining weekly newsletter.

  • Designs event calendars in collaboration with staff and residents, upholding the 7 dimensions of Wellness (Spiritual, Physical, Social, Emotional, Occupational, Intellectual, Environmental).
  • May facilitate online and virtual programming and supports the operation of channel 1976.
  • May interact with Resident Council, Cultural Arts Committee and Quality of Life and Care Committee to ensure satisfaction with services.
  • Works with Sales and Marketing to enhance the community brand and to develop Events programs.
