Events Specialist (part-time 17.5 hrs/wk)
Join us at BYU Liberal Arts Advisement and Careers (LAAC), where we support students in both the College of Family, Home, and Social Sciences and the College of Humanities throughout their academic journey and as they prepare for what comes after BYU. As our Events Specialist, you will lead out on all student-facing LAAC events, coordinate convocation ceremonies, and plan and create social media content for the Center. What you'll do in this position:
- Plan and execute all LAAC events, including New Student Orientation, Major Fair, and College Showcase
- Facilitate regular outreach events, such as monthly open houses, to connect students with academic advisors, career directors, and center resources
- Design and create promotional materials for students and faculty
- Plan and execute the annual convocation ceremony for the College of Family, Home, and Social Sciences, in coordination with the FHSS Dean's Office, and assist with the convocation ceremony for the College of Humanities
- Arrange accommodations and VIP services, as needed
- Manage and train staff and volunteers on convocation assignments
- Work closely with the LAAC Office Manager and student employees to create social media content for the Center
- Order office supplies, schedule rooms, manage calendars, and coordinate on event budgets with the LAAC Office Manager
What qualifies you for this role:
Required
- A firm commitment to the mission of BYU
- Two years of related office work experience and/or progress towards a bachelor's degree
- Two years of experience with event planning and/or managing projects
- A pleasant, mature, and professional demeanor
- Ability to coordinate and communicate clearly with teammates, faculty, and other stakeholders
- Ability to deal appropriately with difficult situations and customers
- Computer skills, including MS Office (especially Excel), with ability to learn new systems quickly
- Knowledge and experience with formatting correspondence in response to email requests, faxes, memos, and directives from management
- Attention to detail and knowledge of general office equipment (copier, scanner, shredder, etc.)
Preferred
- Three or four years of event planning and/or project management experience
- Proven experience leading and managing complex events, such as large-scale ceremonies or conferences
- Experience with vendor negotiation and contract management for events
- Experience with training and directing temporary staff or volunteers for events
- Knowledge of higher education experiential learning programs, such as study abroad, internships, and undergraduate research
- Familiarity with financial record-keeping or expense reporting
- Familiarity with social media strategy and graphic design principles
- Knowledge of BYU policies and procedures and Workday
