Summary

We are seeking a highly organized, polished, and proactive Executive Administrative Assistant to support a dynamic, fast-paced corporate environment. This role serves as a critical extension of General Services, ensuring seamless daily operations across executive support, event coordination, travel logistics, and financial processes.

This is a high-visibility position supporting senior leadership and operating within a centralized administrative support model. The ideal candidate brings strong executive presence, attention to detail, and the ability to manage multiple priorities with precision and professionalism.

Key Responsibilities

Primary Duties & Responsibilities

  • Maintain a highly organized, professional office environment and serve as a central point of coordination for administrative requests

  • Prepare and manage communications, reports, presentations, and tracking tools with high accuracy

  • Coordinate calendars, meetings, room reservations, and logistics; manage document control and intake systems

  • Plan and execute internal meetings and events end-to-end, including logistics, vendors, catering, and communications

  • Manage event budgets, approvals, and financial tracking while ensuring consistency and continuous improvement

  • Coordinate domestic and international travel, including itineraries, approvals, and issue resolution

  • Support post-travel expense reconciliation

  • Prepare and submit expense reports (Client, Concur, SAP) in compliance with policies

  • Track expenses against budgets and support procurement, invoicing, and vendor payments

  • Maintain organized, audit-ready financial documentation

  • Act as liaison between internal teams and external vendors; support vendor coordination and onboarding

  • Ensure adherence to company policies, financial controls, and security procedures; escalate risks as needed

  • Support special projects, process improvements, and development of tools/templates to enhance operational efficiency


Required Qualifications

  • Associate's degree required
  • 3+ years of administrative assistant experience
  • Strong organizational and multitasking skills; ability to manage competing priorities
  • Exceptional attention to detail and follow-through
  • Proven ability to handle confidential information with discretion
  • Strong interpersonal and communication skills; able to work across all levels
  • Proactive, solutions-oriented mindset with strong problem-solving ability
  • Experience with expense management systems (Concur, SAP preferred)
  • Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook); SharePoint experience is a plus
  • Ability to thrive in a fast-paced, evolving environment

Work Schedule: Monday–Friday, 7:00 AM–4:00 PM or 8:00 AM–5:00 PM
