Executive Assistant to the Provost (Administrative Coordinator II), Salary: $53,576 - $66,970 per year, USCA Academic Affairs
Manages and oversees the administrative functions of the office of the Provost and Executive Vice Chancellor for Academic Affairs (EVCAA). Provides support that is necessary for the operation of all academic units of the University. Knowledge/Skills/Abilities: Thorough knowledge of office procedures, practices and equipment. Must possess excellent computer skills in word processing and proficient in MS Excel and database management. Must be able to generate budget reports. Excellent interpersonal, communication and organizational skills required. Ability to work independently and to exercise judgment and discretion in interpreting and applying policies and procedures. Ability to maintain concentration and perform multiple concurrent duties under constant interruption. Maintain accuracy and confidentiality. Ability to evaluate, plan and assign. Ability to deal with diverse personalities. Ability to interpret behavior to appropriately deal with individuals. Ability to work in a stressful environment. Ability to initiate necessary procedures/changes. Minimum requirements: Bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience. Job Duty
Oversees and supervises daily operations of the Office of Academic Affairs. Manage office workflow and maintain office procedures. Identify problems and initiate or recommend corrective action. Maintain and manage records and files. Supervises other staff in the Office of Academic Affairs such as student workers or other staff hired by the Provost. Keeps Provost on track with academic decision schedule.
Essential Function Yes Percentage of Time 25 Job Duty
Provide confidential administrative support to the Provost. Handle confidential information on faculty and academic staff (personnel files, promotion and tenure files, salary data, performance evaluations, etc.) as well as on students. Ensure that deadlines for reviews, decisions and reports are met by keeping logs of promotions, tenure, PTR, interim appointments, endowed chairs, etc. Write and provide drafts of letters for Provost related to the above appointments.

Serve as the Provost's liaison with faculty, academic unit heads, staff, students, and the public by providing information on academic policies and procedures. Coordinate the updating and editing of the USC Aiken Faculty Manual. Record minutes for meetings as needed by the Provost. Help support or lead special projects/duties as assigned. Represent the Provost's office in coordination of various campus events (graduation and other ceremonies). Provide leadership in planning and arranging of specialized programs/events sponsored by provost office (such as student honors ceremony and faculty celebration of excellence).

Manages and coordinates the hiring process for full-time faculty positions by processing appropriate paperwork to secure approval for positions, handle advertising, prepare letters of appointment and serve as liaison with Office of Human Resources. Prepares and delivers appointment and reappointment letters to HR before payroll deadlines. Keep HR informed of filled positions and retiring faculty. Assist with all other personnel function of the office.

Monitor expenditures and ensure office remains within budget for recruiting and hiring as well as for faculty research. Take responsibility for procurements from preparing initial CARF to following through to using PO to facilitate payment of invoices. Provide financial reports to the Provost as needed/requested. Assists with additional fiscal function of the office as needed.
