Position Description:
Performs administrative and coordinative work in the Office of a Vice President or above to ensure the smooth operation and functioning of the office. Responsibilities involve the application of constructive measures and appropriate solutions to complex procedural and administrative matters. Duties may also include the coordination of office procedures and policies and high level secretarial support. May supervise office/clerical staff and possibly administrative support staff.

Major/Essential Functions:
Provide administrative support for faculty and staff at for the executive office by providing customer service which includes answering department telephones, greeting and directing guests and visitors.
Provide administrative support for faculty, staff, students, and outside visitors at for the executive office by providing customer service which includes answering department telephones, greeting and directing guests and visitors.
Responsible for determining the logistics for all meetings of our executive office, to include: type of A/V support required for all events and educational activities, and provide support by reserving rooms, submitting facilities and A/V equipment work orders and managing the catering for all meetings/events, as determined by the Executive Associates for the VP Clinical Affairs and the VP Academic Affairs
Coordinates all travel arrangements and reimbursements for Offices of VP Clinical Affairs and VP Academic Affairs
Help coordinates institutional events on behalf of the President to include communications, timelines, and scheduling, may collaborate with Institutional Advancement on some events, under oversight of the Senior Executive Assistant to the President.
Assists the Executive Associates for VP Clinical Affairs and VP Academic Affairs with coordination of project workflow and communications, project management, and coordination of activities/events.
Manages all financial transactions relative to direct pays and purchase orders for activities related to operations for the VP Clinical Affairs and VP Academic Affairs. Creates monthly expense reports administrative staff and keeps within specified budget.
Serve as a shopper on TechBuy for supplies and equipment for the VP Clinical Affairs and VP Academic Affairs
Flexible/adaptive assumption of ad hoc short-term responsibilities and special projects related to the Executive Office.
Build, foster and maintain professional collaborations/relationships with staff, faculty, students, and visitors to provide support and excellent customer service.
Supports administrative functions and operations for the Executive Office.
Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
