Position Overview
The Executive Administrative Associate will be responsible for independently managing day-to-day administrative operations to ensure the smooth functioning of the office. This role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities, including facility management, procurement, compliance, and front-office support.
Key Responsibilities
Administrative & Facility Management
  • Oversee day-to-day facility operations, including security, housekeeping, inventory, and front-office management.
  • Coordinate vendor management, material movement, compliance, and housekeeping services.
  • Liaise with building management to maintain equipment, cleanliness, and overall facility upkeep.
Security & Compliance
  • Monitor and manage security and access control systems.
  • Review CCTV coverage and reports, ensuring compliance with company security policies.
  • Support audit readiness, statutory compliance, workplace environment guidelines (HSE/WEG), and conduct regular fire & safety drills.
Procurement & Inventory Management
  • Manage timely procurement of office supplies, pantry items, and breakroom essentials.
  • Handle purchase requisitions, vendor negotiations, and invoice processing in line with company purchase policies.
Documentation & Reporting
  • Prepare, review, and submit daily, monthly, and preventive maintenance reports.
  • Maintain accurate records of seat occupancy, audits, safety, and compliance documentation.
Front Office & Client Support
  • Welcome clients and visitors, arranging local travel, accommodation, and meeting logistics.
  • Manage conference room scheduling and ensure meeting spaces are properly maintained.
  • Handle incoming/outgoing mail, shipping requests, and package dispatch.
Event & General Administration
  • Organize in-house and external events as required.
  • Coordinate billing and other administrative functions as assigned.
  • Ensure continuous on-site support during working days and availability outside business hours if needed.
Qualifications
  • Associate degree or higher.
  • 5–10 years of experience in administrative or facility management in a medium-sized facility (100+ employees) preferred.
  • Strong English communication skills (written & verbal).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Knowledge of office management, procurement processes, and vendor handling.
  • Strong organizational, problem-solving, and decision-making skills.
  • Proactive, self-motivated, flexible, and able to multitask in a multicultural environment.
  • Basic understanding of health, safety, and environment (HSE) standards.
