Executive Administrative Assistant

Job Summary:

Langan Financial Group, LLC is recruiting an Executive Administrative Assistant on site for 40 hours a week to support our growing business. This position requires a motivated individual who is proactive, detail-oriented, and genuinely enjoys working with people. You'll often be the first point of contact for prospective clients, existing clients, and visitors — so a warm, welcoming demeanor and the ability to make people feel at ease are essential. Taking initiative and being highly focused on delivering excellent service is necessary in a fast-paced, high-growth environment. Excellent communication skills are imperative.

Qualifications:

  • 3–5 years of experience in an administrative or client-facing role, preferably in financial services or a professional services environment.

Duties/Responsibilities:

  • Greet guests, answer phones, and serve as the friendly first point of contact for anyone reaching out to the firm — whether it's a prospective client inquiring about our services, an existing client with a question, or a visitor stopping by the office.
  • Listen to client and prospect needs and direct them to the most appropriate team member.
  • Schedule and maintain advisor's calendar.
  • Set up and track client meetings.
  • Add client notes to CRM.
  • Help prepare client reviews and reports.
  • Support special events.
  • Manage phone system.
  • Track PTO/sick days for staff.
  • Arrange travel accommodations.
  • Schedule repairs/services for office.
  • Order supplies and oversee mailings.
  • Copy, scan, bind reports.

Compensation:

  • Salary range $50,000–$65,000.
