Executive Administrative Assistant
Location: Celina, TX (In-Office)

Compensation: $50,000 to $55,000 annually, based on experience
Support ownership, elevate the client experience, and help keep a growing design-build company running with precision.
Precision Pavers is an established outdoor living and hardscape design-build company serving North Texas since 1984. We specialize in high-quality residential paving, hardscape, and outdoor living projects, including patios, driveways, pool decks, walkways, retaining walls, and custom outdoor spaces.
As we continue to grow, we are investing heavily in technology, standardized processes, our new office and showroom, and the overall employee experience. We are looking for a polished, highly organized, and client-focused Executive Administrative Assistant to support ownership, help manage daily business operations, and serve as a professional first point of contact for clients, vendors, and business partners.
This is much more than a traditional administrative position. This role requires discretion, professionalism, strong follow-through, executive support experience, and the ability to create order across a busy, fast-moving business. The right person will be comfortable supporting ownership directly, communicating with clients and vendors, coordinating schedules and documentation, and helping ensure that the day-to-day operations of the company run smoothly.
Key Responsibilities
Executive Support & Office Coordination
- Provide direct administrative and operational support to ownership.
- Manage executive calendars, appointments, meetings, and daily scheduling needs.
- Coordinate client consultations, internal meetings, vendor appointments, and project-related schedules.
- Prepare meeting agendas, supporting documents, reports, and professional correspondence.
- Monitor assigned executive communications and help route follow-up items appropriately.
- Help ownership stay organized by tracking priorities, deadlines, documents, and pending items.
- Maintain a high level of discretion, confidentiality, and sound judgment when handling company, client, and executive information.
Client Service & Professional Communication
- Serve as a polished and professional first point of contact for clients, vendors, and business partners.
- Answer incoming calls and respond to inquiries with professionalism, accuracy, and excellent customer service.
- Schedule and confirm client consultations, appointments, and project-related meetings.
- Maintain consistent and professional communication with clients throughout the customer experience.
- Communicate clearly with clients, vendors, office staff, field personnel, and leadership.
- Represent Precision Pavers in a way that reflects the company's standards, reputation, and commitment to exceptional service.
Administrative Operations & Documentation
- Maintain accurate project information within JobTread or similar business/project management software.
- Organize and upload project documentation, notes, photos, forms, and client records.
- Maintain organized electronic files, internal records, company documents, and standardized templates.
- Route documents for signatures when required.
- Track outstanding administrative tasks and help ensure timely follow-through.
- Support process improvements, internal systems, and standardized administrative workflows.
- Identify missing information, bottlenecks, or follow-up needs and help move work forward.
Vendor, Project & Business Support
- Request vendor pricing, quotes, material information, and project-related updates as needed.
- Coordinate material orders, delivery timelines, and vendor follow-ups.
- Verify lead times and delivery schedules and communicate updates to ownership.
- Support project documentation and communication between office, field, vendor, and client teams.
- Assist with general office administration and daily operational support.
Qualifications
- 3 or more years of experience as an Executive Assistant, Administrative Assistant, Office Administrator, Administrative Coordinator, or similar role.
- Experience supporting executive leadership, ownership, senior management, or business owners.
- Fluent bilingual proficiency in English and Spanish required.
- Strong professional communication skills, both written and verbal.
- Excellent customer service skills and a polished, client-facing presence.
- Strong organization, time management, and attention to detail.
- Ability to manage multiple priorities without losing track of details.
- Comfortable coordinating calendars, meetings, appointments, documents, and administrative workflows.
- Proficiency with Microsoft Outlook, Word, Excel, Teams, and Microsoft Office/Microsoft 365 applications.
- Experience using CRM, scheduling, project management, or business workflow software.
- Comfortable learning new software systems, including JobTread or similar platforms.
- Ability to work independently while following established procedures and company standards.
- Strong follow-through and the ability to complete assigned tasks accurately and on schedule.
- Dependable attendance, reliability, and professional business etiquette.
- Ability to maintain confidentiality and use sound judgment.
- Must be willing to complete a background check upon a conditional job offer.
- Must be able to work 100% in office at our Celina, TX location.
Preferred Qualifications
- Previous experience in construction, remodeling, paving, landscaping, outdoor living, home services, engineering, architecture, or a related industry.
- Experience using JobTread or similar construction management software.
- Experience coordinating vendors, subcontractors, deliveries, project documentation, or field personnel.
- Experience using business productivity platforms such as ClickUp, Ramp, Microsoft 365, CRM systems, or similar cloud-based applications.
- Experience working in a growing business where responsibilities are broad, visible, and important.
- Demonstrated employment stability, preferably two or more years with recent employers.
Compensation & Benefits
- Full-time, W-2 position.
- Compensation: $50,000 to $55,000 annually, based on experience.
- 100% in-office role at our Celina, TX location.
- Schedule: Monday to Friday, 8:00 AM to 5:00 PM.
