Executive Administrative Assistant
LaSalle Network is hiring on behalf of one of our leading clients in the investment management space for an Executive Administrative Assistant who will be central to providing elevated administrative and operational support to the office and executive team.
Responsibilities:
- Administrative & Document Support
- Prepare, edit, and format complex documents, reports, and presentations
- Provide intermediate to advanced MS Word and Excel support, including tables, formatting, and version control
- Print, bind, and distribute materials for meetings Maintain shared files, templates, and organizational systems
- Office Operations & Facilities
- Ensure daily office readiness and overall organization Manage office supply inventory and vendor orders through the supply portal
- Perform light lifting (e.g., restocking beverages) Serve as the onsite point of contact for facilities needs and vendor visits
- Reception & Meeting Coordination
- Greet visitors and manage guest access
- Coordinate internal and external meetings, including room setup and catering
- Prepare conference rooms for early client meetings
- Maintain a polished, professional environment for high-profile visits
- Catering & Hospitality
- Coordinate catered lunches, including setup and cleanup Support internal events and cultural initiatives as needed
What we're looking for:
- MUST HAVE 1–3+ years of administrative or office support experience
- MUST HAVE experience in financial services, private equity, investment management, or professional services preferred
- Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook)
- Comfort with office technology and basic A/V troubleshooting
- Strong organizational, communication, and multitasking skills
- Professional, polished demeanor; reliable and punctual
Work Model:
- On-Site Monday-Friday in downtown Chicago
- Monday-Friday 7:45 AM–3:30 PM
Compensation & Benefits:
- $50k – $65k annual salary
- Benefits: Medical/Dental/Vision
