Correctional Health Treatment Centers, Inc. is seeking a detail-oriented, highly organized, and proactive Executive Administrative Assistant to provide high-level administrative and operational support to executive leadership, committees, and multiple remote and in-person teams. The ideal candidate will be comfortable managing competing priorities, coordinating complex schedules and meetings, preparing professional materials, and communicating effectively with internal and external stakeholders. This role requires sound judgment, discretion, accuracy, and a strong commitment to confidentiality in a healthcare-focused environment.

Responsibilities

  • Provide high-level administrative support to executive leadership, managers, committees, and multiple remote and in-person teams.
  • Manage complex calendars, schedule meetings, coordinate appointments, and arrange travel or logistics as needed.
  • Prepare, edit, format, and proofread correspondence, reports, presentations, meeting packets, agendas, minutes, and other professional materials.
  • Support committee and leadership meetings by developing agendas, recording minutes, tracking action items, preparing materials, and ensuring timely dissemination of documents and follow-up information.
  • Serve as a central point of coordination for communication, scheduling, documentation, and follow-up across distributed teams and workgroups.
  • Handle incoming calls, emails, and visitor inquiries in a professional and courteous manner.
  • Maintain organized digital and physical filing systems, records, and office documentation.
  • Assist with data entry, invoice processing, expense tracking, and other routine administrative tasks.
  • Coordinate office supplies, materials, and equipment requests to support daily operations.
  • Work collaboratively with cross-functional teams to help complete projects and special assignments.
  • Ensure confidentiality and accuracy when handling sensitive information.

Qualifications

  • Previous experience in an executive administrative assistant, administrative support, office coordination, or similar role is preferred.
  • Healthcare, correctional health, behavioral health, public health, or related industry experience is preferred.
  • Proficiency with Microsoft Office, virtual meeting platforms, shared calendars, document management tools, and other productivity systems.
  • Experience preparing meeting materials, maintaining accurate minutes, tracking action items, and supporting committees or workgroups.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and a commitment to accuracy.
  • Ability to work independently and as part of a team.
  • Professional demeanor, problem-solving skills, and a customer-service mindset.
  • Ability to maintain discretion and handle confidential information appropriately.

Preferred Skills

  • Experience supporting senior executives, leadership teams, boards, committees, or multiple departments.
  • Experience coordinating agendas, minutes, packets, reports, and follow-up materials for committees, leadership meetings, or project teams.
  • Comfort supporting staff and stakeholders across remote, hybrid, and in-person environments.
  • Familiarity with scheduling software, document management systems, or basic database tools.

  • Basic bookkeeping, invoicing, or procurement experience.
