Executive Administrative Assistant
New York, NY (In-Office | Must be local)
$35/hour + OT(approximately $72,800 annually based on 40 hours/week)
We are seeking a highly organized and proactive Executive Administrative Assistant to support a fast-paced, professional team within a large, prestigious financial firm. What You'll Do:
Provide day-to-day administrative support to executives and business teams
Manage complex calendars across multiple time zones and coordinate meetings (virtual and in-person)
Handle high-volume communications and scheduling requests professionally and efficiently
Coordinate domestic and international travel arrangements, including itineraries and logistics
Organize meetings and events, including room scheduling, catering, guest registration, and materials preparation
Process expense reports, invoices, and related administrative documentation accurately and on time
Support general administrative responsibilities including filing, scanning, document management, and special projects
Maintain confidentiality while handling sensitive business information
Partner with administrative colleagues to ensure seamless support and coverage as business needs evolve
What We're Looking For:
3–5+ years of administrative or executive assistant experience within a fast-paced environment
Experience supporting executives, senior leaders, or multiple stakeholders preferred
Strong communication, organizational, and multitasking abilities
Ability to prioritize competing deadlines and remain composed in a high-volume environment
Exceptional attention to detail and strong follow-through skills
High degree of professionalism, discretion, and sound judgment
Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Zoom
Experience with expense management tools such as SAP Concur is a plus
Financial services experience is preferred but not required
