Position is hybrid with 3 days in the office and 2 days remote.
Note: Tuesdays and Thursdays are required in office days with Monday or Wednesday as the third day in the office as required. Some weeks may require 4 to 5 days in the office with prior notice.
Job Description:
Key responsibilities will include:
- Complete assignments from assigned senior leadership team members and other director level personnel.
- Maintains and submits expense reports for all assigned executives via Concur.
- Assists in purchase order creation and payment of invoices to vendors using purchasing software.
- Maintains appointment calendars and coordinates conference calls, meetings, and video conferences.
- Makes travel arrangements for assigned senior leadership team members and director level personnel.
- Plans and coordinates special events including townhalls, recognition events, and corporate visits.
About you: To be successful in this role, you require:
- Minimum 5 year's prior executive level secretarial experience with demonstrated ability to manage administrative tasks efficiently, accurately and with utmost discretion for confidential matters.
- Ability to manage multiple tasks efficiently while working in a team environment or independently.
- Microsoft competency required (i.e., Word, Excel, and PowerPoint).
- Capacity to use tact and judgment in dealings with employees and visitors.
- Strong people skills, sensitivity to confidential and timely matters, and wide degree of creativity and latitude.
- Demonstrated ability to work independently and be self-motivated with minimal supervision.
- Ability to be work overtime with short notice may be needed occasionally.
